Position Title: Administrative Assistant

Hours to Work: Monday-Friday Flexible Daytime Hours (36-40 hours a week) Occasional evenings/weekends

General Summary
Nebraska Association for the Education of Young Children (Nebraska AEYC) is a non-profit organization providing opportunities that promote excellence in early childhood education for Nebraska’s early childhood educators, children and families through education, advocacy, and leadership. We seek a flexible full-time (36-40 hours per week) Office Administrative Assistant. Based at the Nebraska AEYC administrative office in Lincoln, the Administrative Assistant provides general office, and project specific, support including managing social media, preparing and distributing newsletters and annual reports, assisting with agency board meetings and events, and working in collaboration with a close-knit, professional team.
Essential Job Functions
Nebraska AEYC General Responsibilities/Routine Tasks/Program Support:
- Process & post mail (incoming and outgoing) dail
- Maintain information, supplies and services regarding copier, postage machine, office equipment, etc.
- Coordinate travel for conferences/training events as needed
- Light housekeeping (vacuuming, conference table, garbage, etc.)
- Order, store, & organize office supplies
- Assist in general office duties in support of all staff (ex. Filing, make copies, binders, laminate)
- Work in collaboration as part of close-knit team of creative, professional early care and education leaders on any other agency activities, as requested
- In partnership with Program Coordinators, provide support to projects as needed
Finance Office Support:
- Scan in W9 forms received and enter into Quickbooks as new vendor and/or update information as needed
- Scan in employee timesheets
- Pull backup documentation for reporting purposes
- Enter program budgets
- Pyramid – Serve as point of contact for tracking timesheets, entering training in spreadsheets, and printing payment receipts
- RESPECT – Serve as point of contact for invoices (not sure if we will require this in Year 2) and entering tracking in spreadsheets
- File all financial reporting documents
- Make monthly finance folders, biweekly payroll folders, and other file folders as requested
Nebraska AEYC Association/Membership:
- Track monthly NeAEYC membership changes, dues reports, manage new/lapsed member information
- Distribute materials and flyers to conferences across the state, as requested
- Proof and distribute written materials
- Coordinate and oversee production of the electronic newsletter
- Coordinate and oversee production of the agency annual report
- Assist with planning and preparation of quarterly board meetings
- Assist with preparation and hosting of Nebraska AEYC events
- Perform grant specific duties as outlined in each grant and as assigned by Program Coordinators and/or Finance Bookkeeper
- Distribute surveys and informational notices as needed
Nebraska AEYC Technology Support:
- Assist with the coordination of NeAEYC’s social media accounts
- Update website as needed
- Check website messages daily and forward to the appropriate staff
- Electronically distribute materials through Constant Contact, such as newsletters, legislative updates, etc.
- Gather tracking information regarding website use and prepare analytics reports

Education and Experience
High school diploma required. Other specific education is not required for this position. Previous proven work experience is necessary. Attention to detail, excellent organizational and communication skills, and a positive attitude are required. Additionally, an ideal candidate will be knowledgeable and passionate about the early childhood education field.
Knowledge, Skills, and Abilities Required:
- Proficiency in Microsoft Office Programs, Quickbooks, Canva, and Constant Contact
- Familiarity with website design and social media
- Excellent written communication skills
- Excellent organizational skills
- A strong attention to detail
- Ability to adapt to the organization’s changing needs
- Skill in the operation of various standard office equipment, including personal computer, printer, photocopying machine, facsimile machine, etc
- Ability to communicate positively and professionally with staff, board, volunteers, and public
Desired:
- Previous experience in and/or knowledge about the early childhood education profession
