Job Title: Administrative and HR Assistant (Home Care)
Role Summary:
In this multifaceted role, you will serve as the Front Desk day- to- day tied in with high-level Administrative and Human Resources assistance to ensure our caregivers are supported. This position is essential for maintaining our high standards of care and ensuring smooth, efficient processes across the entire organization.
Key Responsibilities
1. Recruitment and Orientation Program
- Recruitment & Sourcing: Support talent acquisition by maintaining Applicant Tracking Systems (ATS) and assisting with sourcing and recruiting initiatives.
- Onboarding: Coordinate orientation programs to ensure new caregivers and staff are seamlessly integrated into the agency.
- Performance & Training: Support the Office Manager with employee evaluation processes, training & development activities, and strategic organizational design.
- Benefits & Payroll: Manage enrollments and inquiries using platforms like ADP, and support payroll via ADP.
2. Agency Administration & Client Coordination
- Communication Hub: Act as the primary point of contact for clients, families, caregivers, and healthcare professionals, providing exceptional support via phone and email.
- Scheduling: Manage complex calendars and schedule appointments for both staff and clients.
- Records Management: Maintain meticulous, up-to-date client and employee records, including medical information and billing details, ensuring 100% accuracy.
- Financial Support: Assist with billing tasks and support financial processes under the Office Manager.
3. Compliance, Safety & Risk Management
- Regulatory Standards: Ensure all records management complies with employment law, FMLA, and labor standards.
- Health & Safety: Assist with OSHA compliance, workers’ compensation claims, and affirmative action planning.
- Quality Control: Proofread all documents for professional accuracy and handle data entry within Electronic Health Record (EHR) systems.
4. Office Management & On-Call Support
- Environment: Maintain an organized and efficient office through proactive clerical duties and Google Workspace collaboration.
- Rotational Support: Participate in the On-Call Scheduling rotation (training provided) to ensure 24/7 operational reliability for our clients.
Proficiency in MS Office, Google Workspace, and HRIS/ATS systems. Experience with QuickBooks and EHR software is a major plus.
Communication
Exceptional phone etiquette and the ability to facilitate clear communication between healthcare professionals and families.
Detail Oriented
Meticulous attention to detail regarding medical records, billing, and document proofreading.
Experience
Proven background in administrative support, preferably within a home care or healthcare setting.

Pay: $15.00 - $19.00 per hour
