Maintenance execution is one of the largest drivers of resident satisfaction, cost control, and asset performance. This role directly impacts repair spend, resident retention, and client outcomes.
Position Overview
The Maintenance Manager owns the full work order lifecycle for a scattered-site SFR portfolio across multiple markets. This is not an onsite technician role. This is a centralized, process-driven position responsible for:
- Work order response speed and SLA compliance
- Vendor dispatch, scheduling, and accountability
- Estimate review and cost control
- Invoice auditing accuracy
- Resident communication and satisfaction
You will operate from the corporate office and serve as the primary point of accountability for every work order from creation through completed invoice.
Success in this role requires urgency, follow-up discipline, strong vendor management, sound repair-vs-replace judgment, and comfort working in property management systems such as AppFolio and Quickbase.
Key Responsibilities
Work Order Management
- Troubleshoot new work orders with residents by phone or text before dispatching a vendor, documenting all troubleshooting within the work order
- Determine resident responsibility versus owner responsibility on every work order
- Assign the best available vendor by trade and market, referencing open and recently completed work orders
- Enforce SLA standards: Urgent scheduled and onsite within 2 days, Normal within 5 days, Low within 7 days
- Maintain follow-up discipline: Urgent daily, Normal every other day, Low at least weekly
- Pull and review the open work order report daily, with urgent work orders reviewed every day
- Reassign work orders when vendors cannot be reached or SLAs lapse
This is a performance-based operations role. Speed and follow-up matter.
Vendor Management & Cost Control
- Review vendor estimates against standardized pricing, photos, and prior completed jobs before requesting client approval
- Apply client approval thresholds accurately and follow client-specific submission requirements
- Obtain competing estimates when pricing falls outside local market norms
- Audit every invoice for itemized line items, pricing accuracy, work detail, and before/after photos (no invoice submitted without photos)
- Process resident chargebacks with firm proof and proper resident communication
Emergency Response, Displaced Residents, and Vacant Homes
- Ensure emergency work orders are resolved or temporarily stabilized while the vendor is onsite
- Treat any displaced resident as the #1 priority until they return home, providing daily updates to all involved parties
- Coordinate vendors and resident communication during natural disasters and named storm events
- Escalate to the leasing team at least 48 hours before move-in if habitability repairs are at risk
- Create and dispatch Property Visit work orders to keep vacant homes in marketable condition
- Create work orders from HOA violations with appropriate follow-up
- Coordinate Rently access for vendors and resolve resident lockbox issues
Systems & Documentation
- Maintain detailed notes in AppFolio on every work order, resident page, and owner page
- Document every phone call - call documentation is mandatory
- Manage tasks and projects in Quickbase
- Use CompanyCam to reference and organize property photos, before/after documentation, and serial numbers
Reporting & Performance Metrics
You will track and report daily and weekly on:
- Open work order volume and aging
- SLA compliance by priority level
- Urgent work orders reviewed daily
- Estimate approval turnaround
- Invoice audit accuracy
- Resident chargeback completion
- Displaced resident resolution time
This role carries clear performance expectations and measurable outcomes.
Performance Expectations
- 100% SLA compliance: Urgent onsite within 2 days, Normal within 5 days, Low within 7 days
- Urgent work orders reviewed and actioned daily
- Follow-up cadence maintained on every open work order
- Zero invoices submitted without line-item detail and photos
- All estimates validated against standardized pricing before approval requests
- Daily updates on every displaced resident until resolved
- 100% call and work order documentation
Qualifications
- 3+ years maintenance coordination, property management, or trades/construction experience
- SFR, BTR, or multifamily experience preferred
- Working knowledge of residential repair scopes, pricing, and repair-vs-replace decisions
- Experience with AppFolio or similar property management software preferred
- Comfortable managing high work order volume across multiple markets
- Strong vendor management and negotiation skills
- Strong written and verbal communication skills
