What You’ll Do (Key Responsibilities)
- Master the Schedule: Efficiently manage daily dental appointment books, optimizing schedule density while preventing staff burnout.
- First Impressions: Greet incoming clients/patients with genuine warmth, both over the phone and in person.
- Inbound & Outbound Communication: Answer phone calls, manage emails, handle text-reminder systems, and follow up on pending treatment/service appointments.
- Seamless Coordination: Collaborate closely with clinical/service staff to ensure smooth handoffs and realistic timing throughout the day.
- Client Retention: Proactively reach out for routine check-ups, follow-ups, and unscheduled care.
- Basic Administrative Support: Verify insurance/intake details, process simple payments, and keep the reception area pristine.
What We’re Looking For (Qualifications)
- Experience: 1–2+ years in customer service, scheduling, or front-desk administration (dental experience is a must!).
- Tech-Savvy: Comfortable navigating scheduling and patient management software Ascend, multi-line phones, and electronic records systems.
- Communication: Exceptional verbal and written communication skills—you sound friendly, polished, and calm under pressure.
- Detail-Oriented: You take pride in catching the little details that keep a busy day running smoothly.
- Problem Solver: Ability to multi-task, stay organized, and handle schedule changes with grace.
