<Job Summary>
We are looking for a dependable and organized Administrative Assistant to support the daily operations of our real estate management office. This role involves handling administrative tasks such as answering calls and emails, scheduling appointments, maintaining tenant and property records, assisting with lease and documentation processes, processing invoices, and providing general support to property managers.
The ideal candidate has strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience in real estate or property management is a plus but not required, and this position offers an opportunity to grow within a professional and collaborative team. Salary is commensurate based on relevant experience.
Bilingual is a plus.
Operate Phone Systems:
- Direct phone traffic promptly and appropriately.
- Check overnight voice-mail on main system.
- Deal with general tenant issues. (i.e. repair needs, rent queries, general complaints, etc..)
Meet and Greet All Visitors:
- Direct them appropriately to all office personnel.
Assist:
- All office personnel with their general, secretarial/admin-assist. needs.
- (i.e. special emphasis on letters, correspondences, mailings, etc…)
- Assist with billing/leasing departments. Prepare lease packages, follow up with leasing process..)
Office systems:
- Check/maintain printer inks, copy/fax machine maintenance, phone & voice mail systems, etc..
Deal With Outside Vendors:
- Assign appropriate P.O. numbers to Work Orders from supply stores.
- Verify that appropriate supplies are being purchased with Managers.
- Follow through with tenants and contractors that repairs were done correctly, with/out incident, need for follow-up remedies, etc…
Deal With Inside Service Personnel:
- Verify that they are scheduled correctly for their particular repair or project.
- Follow through that job was done correctly, without incident.
Mail Duty:
- Properly assure outgoing mail. (verify correct postage, certified, overnight, etc...)
- Go to post office for bulk mailing 1-2 times every 2 weeks
General Office Help:
- Assist with “Outside Organizations” secretarial needs as needed. (mailings)
- Assist with Leasing mailings and documentation
Job Type: Full-time
Pay: $20.00 - $30.00 per hour
Expected hours: No less than 40 per week
