About the Role
Saint Sophia Hellenic Orthodox Church is seeking a dedicated, organized, and welcoming part-time Office Secretary to manage daily administrative operations. This position serves as a central point of contact for parishioners, visitors, and vendors, providing essential support to our parish community.
The Office Secretary provides comprehensive administrative and clerical support to ensure the smooth, efficient operation of Saint Sophia Hellenic Orthodox Church. The individual in this role acts as the primary administrative liaison between the Parish Priest, the Parish Council, and the congregation.
Schedule & Flexibility
This position requires 12 to 15 hours per week. We offer high scheduling flexibility. Workdays and hours will be coordinated and mutually agreed upon with the Parish Priest and the Parish Council President to fit both church needs and your personal schedule.
Note: Additional hours may be required during peak seasonal times, such as the Fall Food Festival and the Easter season, to support major parish activities.
Core Responsibilities
- Administrative Support: Manage church correspondence, answer emails, answer phone calls, and route messages.
- Records Management: Maintain accurate parish registries, sacramental records, and mailing lists.
- Bulletin & Communications: Assist in preparing the weekly and monthly community bulletins, newsletters, flyers, and announcements.
- Office Operations: Maintain office supplies, lift and organize supply boxes, handle mail, and manage digital and physical files.
- Welcoming Presence: Greet visitors and assist parishioners with inquiries in a helpful and respectful manner.
Qualifications
- Strong organizational skills and attention to detail.
- Required Proficiency: Microsoft Word, Excel, and Publisher (preferred).
- Excellent verbal and written communication skills.
- Ability to maintain strict confidentiality regarding parishioner data.
- Physical Ability: Must be able to lift up to 20 lbs occasionally to handle office supplies and delivery packages.
- Knowledge of or willingness to learn Greek Orthodox Church traditions and parish culture.
- Reliable, self-motivated, and able to work independently.
Employment Terms
- Classification: Part-time, non-exempt.
- Compensation: $20.00 per hour, paid bi-weekly.
- Hours: Baseline of 12 to 15 hours per week, arranged with the Priest and Council President.
- Seasonal Requirements: Ability to scale up hours temporarily during busy church seasons (e.g., Holy Week/Easter and the Fall Food Festival) is highly preferred.
- Benefits: This part-time position does not qualify for healthcare or retirement benefits.
- Reporting Structure: The Office Secretary reports directly to the Parish Council President and works in close coordination with the Parish Priest.
Detailed Duties and Responsibilities
1. Communication & Reception
- Act as the primary point of contact for the church office during designated hours.
- Screen and route incoming telephone calls and manage the general church email inbox.
- Greet parishioners, vendors, and community guests with warmth and professionalism.
- Distribute urgent pastoral messages directly to the Parish Priest.
2. Documentation & Record Keeping
- Update and maintain the parish database, including membership rosters and stewardship records.
- Record sacraments (baptisms, weddings, chrismations, funerals) in the official church registry books.
- File physical and digital documents, ensuring records are secure yet accessible to authorized leadership.
3. Publication & Media Support
- Compile, format, design, and print the weekly Sunday bulletin insert, event flyers, and booklets using Microsoft Publisher.
- Coordinate with the Priest to update the parish calendar regarding feast days, services, and community events.
- Assist with preparing community-wide mailings and specialized administrative tasks for major ecclesiastical and cultural events, specifically the Fall Food Festival and Easter.
4. Office Management & Physical Demands
- Monitor inventory of office supplies and order replacements within budget guidelines.
- Receive deliveries and occasionally lift and move boxes weighing up to 20 lbs.
- Process incoming and outgoing postal mail.
- Keep the office space clean, organized, and professional.
