Overview
We are seeking a dynamic and highly organized HVAC Administrative Assistant to join our family owned business. This vital role offers the opportunity to support our HVAC operations through scheduling and coordination as well as supporting our team members in the field. You will play a key role in ensuring smooth daily operations, managing schedules, and maintaining accurate records. Duties
- Manage job schedules and coordinate with vendors
- Support office management activities such as ordering supplies, scheduling rentals, managing inventory, and coordinating maintenance requests
- Maintain contracts and assist with permitting
- Review project plans, specifications, and contracts
- Process improvement - you identify the gaps, build the workflows, document the procedures, and make sure the operation doesn't rely on any one person's knowledge
Experience
- Prior office experience in administrative or clerical roles within the HVAC or related service industry preferred
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Demonstrate phone etiquette skills with experience
- Personal assistant or executive support experience is a plus but not required
