Position Summary
The Administrative Assistant provides comprehensive clerical, administrative, and operational support to ensure efficient daily office operations. This role supports multiple division areas, assists with accounting and HR-related tasks, manages office logistics, and serves as a key point of contact for visitors, vendors, and internal staff.
Key Responsibilities
· Answer and direct incoming phone calls in a professional manner
· Greet and assist visitors, customers, and vendors
· Manage incoming and outgoing mail and post office runs
· Coordinate banking and UPS drop-offs
· Reserve and manage conference and training rooms
· Scan, organize, and maintain electronic files
· Assist with new hire onboarding paperwork and setup
· Set up vendor and customer accounts
· Process Accounts Payable and positive pay
· Prepare purchase orders and accounting related accounts receivable reports
· Order office, cleaning, and operational supplies
· Book hotels and coordinate office lunches
· Coordinate preparation of semi-annual newsletters
· Other duties or special projects as assigned by management
Qualifications
· Minimum 3 plus years administrative or clerical experience
· Stable work history required
· Experience supporting accounting functions
· Ability to handle confidential information with discretion
Skills & Competencies
· Strong organizational and time management skills
· Excellent written and verbal communication
· Proficiency in Microsoft Word, Excel, and Outlook
· Detail-oriented with strong follow-through
· Positive attitude and team-oriented mindset
Expected hours: No less than 40 per week
