As we expand our practice to meet the needs of our community, we are seeking a dedicated and detail-oriented individual to join us as an Operations Assistant.
Position Overview
The Operations Assistant plays a vital role in supporting the day-to-day administrative and operational functions of BrainWorks Behavioral Health. Working closely with the Director of Operations, this position helps ensure efficient workflows across multiple departments, assists with office operations, supports admin staff, and contributes to projects that improve organizational effectiveness. The ideal candidate is detail-oriented, adaptable, and able to manage multiple priorities while maintaining professionalism and confidentiality.
Responsibilities
- Provide administrative support to the operations team.
- Prepare, scan, upload, and manage documents while ensuring accuracy and confidentiality.
- Monitor office supplies and coordinate purchasing and inventory as needed.
- Assist with onboarding activities, including preparing materials, accounts, and equipment for new employees.
- Assist with facility maintenance requests.
- Collaborate with clinical, administrative, and billing teams to improve workflow efficiency.
- Assist with special projects and process improvement initiatives.
- Assist with front desk operations when needed.
- Ensure compliance with HIPAA and BrainWorks policies and procedures.
- Perform other administrative and operational duties as assigned.
Minimum Qualifications
- High school diploma or equivalent.
- Administrative, office management, or operations support experience.
- Strong organizational and time management skills with exceptional attention to detail.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Commitment to maintaining confidentiality and HIPAA compliance.
Preferred Qualifications
- Associate's or Bachelor's degree.
- Experience working in a healthcare, behavioral health, or medical office setting.
- Experience with insurance billing tasks.
- Familiarity with electronic medical record (EMR) systems.
Job Type: Full-time
Pay: $22.00 - $24.00 per hour
