Job Title: Human Resources Assistant
Job Summary:
The Human Resources Assistant performs a variety of administrative tasks to support the organization's personnel functions and assist the Human Resources Department.
Essential Job Duties
- Handles recruiting job vacancies for the agency, including posting on job boards, resume screening, checking references, and conducting interviews.
- Performs orientation, onboarding, and training of new talent.
- Oversees the fingerprinting and pre-employment testing for new talent.
- Coordinates and assigns employee training.
- Process all direct deposit requests, W-4’s, and payroll changes in the accounting system.
- Enter new hires and benefit deduction changes in the payroll system, ensuring accuracy.
- Regularly conduct NetSuite and Bamboo audits to update employee status.
- Annually update and distribute payroll schedule and mileage logs as needed.
- Perform HR administrative duties, such as maintaining the employee database, in-service training logs, and filing.
- Maintains employee files.
- Assists the department in employee benefits administration.
- Attends ongoing training on employment and labor laws.
- Maintains safety data for the safety program.
- Mandating reporting requirements for dependent and elder abuse, as required by WIC Section 15630(b).
- Other duties as assigned by the Director of Human Resources.
Minimum Qualifications and Requirements
- Ability to manage projects and meet deadlines
- Strong sense of discretion and confidentiality required
- Must be able to read and write English and communicate at a level required for successful job performance
- Maintain First Aid/CPR (training provided)
- Must be able to drive and maintain a valid CA Driver’s License and personal auto insurance.
- Punctual and regular attendance is essential
- Maintain an acceptable driving record that meets Arc’s insurance standards.
- Must be able to maintain a clear Background Fingerprint Clearance.
Education/Experience
- High School Diploma
- A certificate in human resources or a related field is preferred
- Experience as a human resources assistant or in a similar role
- Computer literate with working knowledge of MS Office, particularly Word and Outlook
- Strong attention to detail and accuracy
- Proficient communication skills
- Multi-tasking skills
Work Site: Corporate Office
Work Hours: Monday-Friday, 8:00-4:30
Direct Report: Director of Human Resources
FLSA Status: Full-time, with the possibility of part-time work if preferred
Pay rate: Non-Exempt position
Physical Demands:
- Must be able to bend, lift stand
- Sit for long periods of time while working on a computer
- Must be able to travel to other Arc program sites as needed
Pay: $22.00 - $25.00 per hour
