About the Operations Coordinator Role
A national event and hospitality services company is hiring an Operations Coordinator in San Jose, CA to support our Operations Manager in overseeing, executing, and managing on-site events as well as some off-site accounts. Our mission is to lift up small local businesses and give them bigger, better opportunities — and the Operations Coordinator is the face of our company on-site, curating a positive experience for clients and vendors alike.
As Operations Coordinator, you'll work shoulder-to-shoulder with the Operations Manager to collect, distribute, and organize the proper paperwork for vendors at every event, on and off-site. You'll be the boots-on-the-ground problem solver — the Operations Coordinator clients and vendors see, talk to, and rely on when something needs to happen now.

What You Get as Operations Coordinator
Base Compensation
- $70,000 – $75,000 base salary (Experience-based)
- 5–10% year-end discretionary bonus (~$3,500 – $7,500)
- Total earning potential: ~$73,000 – $83,000
- Hybrid role — mostly on-site with travel, plus remote admin work supporting your Operations Manager
Starts Immediately
- $1,200/year cell phone & tech stipend ($100/month)
- $75/day meal allowance while traveling on company business
After 90-Day Introductory Period
- $350 office/home-office reimbursement

What You'll Own as Operations Coordinator
- Support the Operations Manager to execute every event smoothly, properly, and safely on-site
- Ensure efficient and effective delivery of operations and services to the client in accordance with the contract
- Communicate client needs to food vendors — on-time setup, pricing, and look-and-feel
- Deliver hospitality to the company standard and the agreed specification
- Help manage and resolve on-site inquiries in real time
- Manage external staff on-site, including vendor event staff, guests, and volunteers
- Maintain in-depth understanding of all federal, state, and local sanitary, safety, and health standards
- Work POS systems and understand tax breakdowns, net and gross sales
- Capture event and food photography for the marketing team when needed
- Problem-solve any on-site support needed from clients and vendors alike
- Jump into Admin and Operations Manager support work across accounts as needed
- Travel often and be on-site daily or when requested
- Complete remote administration work to support events and accounts for the Operations Managers
Requirements
- Outgoing personality — comfortable talking with new people, excels at developing client and vendor relationships face-to-face
- Strong written and verbal communicator across all levels of an organization
- High level of initiative with strong leadership skills
- Basic math and accounting skills
- Comfortable using online web software and picking up new tools quickly
- Exceptional organizational and time management skills
- Self-starter who works independently and constructively
- Performs multiple tasks effectively and efficiently — composed when something unexpected happens
- Effective at using delegation, work assignments, and follow-up
- Shows initiative and a sense of urgency in accomplishing tasks and projects
- Available to travel most of the time and work on-site at events (including evenings, weekends, and holidays when the event calendar requires)
- Valid driver's license and clean driving record
- Based in the San Jose, CA area
- Authorization to work in the U.S.
Pay: $70,000.00 - $75,000.00 per year
