About the Role
DHR Golf is looking for a detail-driven Operations Assistant to own the equipment, fleet, and shop logistics that keep our crews running. This role oversees equipment across our California and Hawaii fleets — this is a full-time, on-site position in American Canyon, CA; Hawaii equipment is coordinated from our California office.
This is a role you get to make your own. You'll inherit some processes, but many are yours to build, refine, and own — if you're the kind of person who sees a messy system and itches to organize it, you'll thrive here. There's also real room to grow: this seat has the potential to lead into shop and operations management for someone who wants to build toward it.
Day to day, you'll be the person who closes the loop on every open item — tracking maintenance, ordering parts, keeping compliance current, and coordinating between operations, mechanics, vendors, and our Spanish-speaking field crews (mostly over WhatsApp). About 70% of your time is at a desk: tracking, reporting, researching, and ordering. The rest is coordination, and the occasional pivot when equipment breaks down in the field and plans change fast.
We welcome candidates from construction, landscape, agriculture, equipment rental, trucking/logistics, or a similar background. If you've coordinated a mixed fleet and worked with bilingual crews, this role will feel familiar. Military logistics, supply, or motor pool experience also translates well. Responsibilities — Vehicle & Equipment Support
- Onboard equipment and vehicles end-to-end: assign asset codes, complete documentation, and ensure each asset is accurately reflected in our equipment-management systems
- Build and maintain equipment maintenance intervals across the CA and HI fleets
- Keep fleet registrations, DMV stickers, and insurance current and documented; proactively track expirations and initiate renewals ahead of deadlines
- Facilitate driver onboarding, training, and offboarding
- Monitor GPS/telematics for safety alerts, maintenance flags, and how equipment is being used; keep track of which GPS device is on which vehicle
- Conduct weekly fuel audits and investigate irregularities
- Maintain DOT/FMCSA compliance for applicable vehicles and trailers; track deadlines and coordinate with authorities
- Administer FasTrak accounts: match tags to vehicles, check them periodically, and catch and fix any errors
- Occasionally drive to pick up parts, supplies, and vehicles
Responsibilities — Shop Support
- Track equipment status, maintenance intervals, and repair needs; advise when equipment should return to the yard for service versus a field repair
- Coordinate repairs across outside shops, in-house mechanics, project coordinators, and leadership
- Promptly order, track, and confirm receipt of the correct parts and supplies — owning the loop from purchase order to delivery
- Help maintain an orderly shop; sell or dispose of surplus items and coordinate across Field and Shop personnel
- Lead equipment purchase research: secure vendor quotes, gather input from experts, schedule demos where appropriate, and make recommendations to management
Responsibilities — Operations Support
- Facilitate crew training on equipment and trailer operation and safety, including preparing training materials and coordinating sessions
- Complete equipment-related after-action reports (AARs) within one week of learning of an issue
Qualifications
- Fluent in Spanish (required) — you'll coordinate daily with our shop mechanics and field crews, many of whom only speak Spanish
- Strong at staying organized with systems and details: comfortable owning tracking systems, audits, and renewal deadlines, and following through until every item is closed
- High self-discipline in time management, organization, and prioritization; demonstrates accuracy and thoroughness in all work
- Mechanically curious — you don't need to be a mechanic, but you're eager to learn heavy construction equipment identification and basic maintenance concepts (this is not an equipment operator role)
- Proven ability to coordinate vendors, outside shops, and the rest of the team, and drive items to completion
- Ability to work efficiently both independently and as a member of a team
- Valid California driver's license with a clean driving record
- Tech-savvy and a solid typist; comfortable with spreadsheets, task-management software, and GPS tracking dashboards
- Clear written and verbal communication; keeps stakeholders in the loop and flags issues early rather than going quiet
- Takes ownership of the work and follows through, even when no one is checking
Education and Experience
- Three years of relevant experience and/or training may substitute for a degree — a 2-year Associate degree in Office Administration or a related field is a plus but not required if you have the equivalent hands-on background
Bonus Skills
- Prior construction, fleet, landscape, or heavy-equipment office experience
- Fleet / DMV / DOT / FMCSA compliance experience
- Heavy construction equipment identification (operator experience not required)
- Experience with Monday.com, Sage 100 Contractor, or a similar equipment/asset (CMMS) or telematics platform — platform-specific experience isn't required; we'll train on our systems if you've used something comparable
- Relevant college or continuing-education coursework
- Familiarity with golf / golf course features
Pay: $23.50 - $28.00 per hour
