SUMMARY:
This position performs reception and medical front office duties to meet the needs of Urology Associates and their staff. They are responsible for providing administrative support to ensure efficient operation of the medical office.
ESSENTIAL DUTIES AND RESPONSIBILITIES (includes but not limited to):

o Greet patients in a welcoming and respectful manner.
o Responsible for patient check in and check out, inform clinical staff when patients arrive.
- Assist patients with completion of admission paperwork, financial waivers, and ABN forms.
- Copies and verifies current patient insurance cards.
- Verify insurance coverage and benefits.
- Generate billing / routing slips for patient appointments.
- Accept co-payment, co-insurance, deductible, and outstanding balance payments.
o Answers and screens phone calls and makes return calls.
- Records and distributes messages manually and via email/fax/EPIC.
- Pages providers when necessary and distributes pager information when appropriate.
o Responsible for patient scheduling.
- Schedules patient appointments for office visits and in-office procedures.
- Manages the referral queue and EPIC Inbasket messages when assigned.
- Updates daily clinical schedules.
- Follows up on no-show patients and routes no show billing slips.
o Monitor patient wait times and communicates delays to appropriate staff member.
o Maintains patient waiting area in a clean and orderly fashion.
o Receive incoming mail and deliveries, process outgoing mail and packages.
o Distribute incoming faxes to appropriate recipients.
o Communicate patient complaints and problems to appropriate staff.
o Respond appropriately to emergent situations.
o Performs other duties as assigned.

- Maintain strict confidentiality regarding patients and private employee matters.
- Maintain reliable attendance in accordance with Urology Associates attendance policy.
- Must be able to work as a team, rely on others for support, and provide support to ensure efficient and safe patient care.

- Know and follow existing chain of command within office/clinic.

- Travel to other locations (other than “home” clinic) to meet the needs of the other clinic, patients, and physician/APP.
JOB REQUIREMENTS (Knowledge, Skills and Abilities):
- Experience in medical terminology and third-party payer systems (preferred).

EDUCATION/TRAINING/EXPERIENCE:
- High School graduate or equivalent.
PHYSICAL REQUIREMENTS:
- Required to sit, stand, walk, bend, crouch, and stretch.
- Must possess sufficient eye-hand coordination/manual dexterity to operate a keyboard, photocopier, telephone, calculator and other office equipment
- Required normal range of hearing and eyesight to record, prepare, and communicate appropriate reports and evaluations.
- Requires lifting papers and boxes up to 20 pounds occasionally
- Requires dexterity to type 45 wpm.
WORKING CONDITIONS (environment and safety):
- Work performed in office environment.
- Involves frequent contact with professional staff and patients.
- Interaction with others is frequent.
- Individual will provide services at the Waukesha and Oconomowoc facilities.
Job Type: Full-time
Pay: $17.00 - $21.00 per hour
