Job Summary
DAO Distribution LLC is a growing food distribution and import company serving restaurants and wholesale customers throughout the Bay Area. We are looking for a reliable, detail-oriented accounting and payments specialist to manage accounts receivable, accounts payable, bank reconciliation, customer statements, and customer payment follow-up.
Thai-speaking ability is strongly preferred because our business works closely with Thai-speaking customers, staff, and suppliers. The ideal candidate is organized, responsible with numbers, comfortable communicating with customers, and able to keep payment records accurate and up to date.
Key Responsibilities
- Manage accounts receivable, including tracking customer balances, unpaid invoices, credits, and payment status.
- Manage accounts payable, including entering vendor bills, organizing invoices, and helping make sure bills are paid on time.
- Perform bank reconciliation and match deposits, payments, transfers, and expenses to accounting records.
- Send customer statements on a regular schedule and follow up professionally on outstanding balances.
- Record and manage customer payments, including checks, ACH, Zelle, credit card payments, cash payments, and other payment methods.
- Communicate with customers regarding invoices, balances, payment questions, credits, and past-due accounts.
- Coordinate with the sales, warehouse, and delivery team when payment issues affect customer orders.
- Help organize vendor invoices, receipts, bills of lading, container-related costs, and other business documents.
- Maintain clean, accurate accounting records in the company’s accounting system.
- Assist with month-end closing tasks and reporting.
- Support management with basic financial reports, aging reports, customer payment summaries, and vendor payment summaries.
Qualifications
- Thai-speaking ability strongly preferred.
- English communication required.
- Experience with accounts receivable, accounts payable, bookkeeping, accounting support, or office administration preferred.
- Experience with Zoho Books, QuickBooks, Excel, Google Sheets, or similar accounting software is a plus.
- Must be detail-oriented and accurate with numbers.
- Comfortable contacting customers about payments in a professional way.
- Able to stay organized and follow up consistently.
- Trustworthy, responsible, and able to handle confidential financial information.
- Experience in wholesale, food distribution, importing, restaurant supply, logistics, or inventory-based business is a plus.
