The Cardiovascular Center of Florida (CVCFL) is seeking an experienced and highly skilled Hospital Scheduler to join our growing team. This is not an entry-level scheduling position. We are seeking a scheduling professional with extensive healthcare experience who can confidently coordinate complex patient care services, hospital-based procedures, diagnostic testing, physician schedules, and multidisciplinary care coordination.
The ideal candidate possesses advanced knowledge of hospital scheduling workflows, insurance requirements, prior authorizations, physician practice operations, EMR systems, and patient care coordination. This individual serves as a critical liaison between patients, providers, hospitals, surgery centers, diagnostic facilities, and insurance carriers to ensure a seamless patient experience.
Position Summary
The Hospital Scheduler is responsible for coordinating and scheduling hospital procedures, outpatient testing, diagnostic studies, specialty appointments, physician consultations, and ancillary services while ensuring compliance with payer requirements, medical necessity guidelines, and organizational standards.
This position requires exceptional attention to detail, strong communication skills, critical thinking abilities, and the capacity to manage multiple priorities in a fast-paced healthcare environment.
Essential Responsibilities
- Advanced Scheduling & Coordination
- Schedule hospital-based procedures and services
- Coordinate cardiovascular diagnostic testing
- Schedule cardiac imaging studies
- Coordinate cardiac catheterizations and interventional procedures
- Schedule stress testing and vascular studies
- Coordinate outpatient and inpatient services
- Manage physician scheduling requests
- Coordinate referrals and specialty consultations
- Ensure all required clinical documentation is obtained prior to scheduling

Insurance Verification & Authorization Support
- Verify insurance eligibility and benefits
- Obtain and track prior authorizations
- Review payer requirements and medical necessity criteria
- Coordinate peer-to-peer review requests when applicable
- Resolve authorization denials and scheduling barriers
- Ensure all authorizations are obtained prior to service dates
Hospital & Facility Coordination Coordination
- Collaborate with hospital scheduling departments
- Coordinate with ambulatory surgery centers
- Communicate with imaging facilities and testing centers
- Maintain positive working relationships with facility partners
- Manage schedule changes, cancellations, and urgent add-on requests
Patient Experience
- Educate patients regarding scheduled procedures and appointments
- Provide preparation instructions and logistical information
- Coordinate interpreter services when necessary
- Address patient concerns and scheduling conflicts
- Ensure timely communication regarding appointment changes
Administrative Support
- Maintain accurate scheduling records
- Update EMR and scheduling systems
- Monitor scheduling work queues
- Generate scheduling reports as requested
- Ensure compliance with HIPAA and organizational policies
Qualifications Required
- High School Diploma or GED
- Minimum 5 years of healthcare experience
- Minimum 3-5 years of hospital scheduling experience
- Experience scheduling complex medical procedures
- Experience working with insurance verification and prior authorizations
- Strong understanding of medical terminology
- Proficiency utilizing electronic medical record systems
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities
Preferred
- Cardiology scheduling experience
- Cardiovascular procedure scheduling experience
- Hospital or health system experience
- Ambulatory surgery center experience
- Epic, Athena, eClinicalWorks, NextGen, or similar EMR experience
- Bilingual (English/Spanish)
