We are currently seeking a detail-oriented and dependable Payroll Specialist to join our Finance team. This position is responsible for the accurate and timely processing of payroll across multiple organizational entities and plays a critical role in supporting our employees while ensuring compliance with all applicable payroll regulations.
Position Summary
The Payroll Specialist will oversee weekly and bi-weekly payroll processing, maintain payroll records, support employees with payroll-related inquiries, and ensure compliance with federal, state, and local regulations. The ideal candidate is highly organized, analytical, and able to manage confidential information with professionalism and discretion.
This is a full-time, on-site position, Monday through Friday.
Qualifications
- 2–4+ years of payroll experience required; healthcare and/or multi-entity experience preferred
- Strong understanding of payroll processing, wage and hour regulations, payroll taxes, and compliance requirements
- Experience with payroll and timekeeping systems; UKG experience strongly preferred
- Exceptional attention to detail and accuracy
- Strong analytical, organizational, and problem-solving skills
- Ability to maintain confidentiality and handle sensitive employee information professionally
- Excellent communication and customer service skills
- High School Diploma or equivalent required; Bachelor's degree preferred
Key ResponsibilitiesPayroll Processing & Administration
- Process weekly and bi-weekly payrolls across multiple organizational entities
- Maintain accurate payroll records including new hires, terminations, compensation changes, tax elections, garnishments, deductions, and direct deposit information
- Review and validate employee timekeeping data, ensuring compliance with company policies and labor regulations
- Investigate and resolve payroll discrepancies while maintaining proper documentation and approval workflows
- Accurately track PTO, sick leave, overtime, and other paid and unpaid time off balances
Compliance & Reporting
- Ensure compliance with federal, state, and local payroll laws and regulations
- Prepare recurring and ad hoc payroll reports for Finance, Human Resources, auditors, and leadership teams
- Assist with quarterly and year-end payroll activities, including payroll tax reconciliations, W-2 processing, and audit preparation
- Stay current on healthcare-related payroll requirements and regulatory changes
Employee Support
- Serve as the primary point of contact for employee payroll inquiries
- Provide timely, professional support regarding paychecks, deductions, taxes, direct deposits, and timekeeping questions
- Collaborate closely with Human Resources to ensure accurate employee onboarding, offboarding, and status changes are reflected in payroll systems
Systems & Process Improvement
- Utilize payroll and timekeeping systems to ensure efficient and accurate payroll administration
- Identify opportunities to improve payroll processes, internal controls, and reporting capabilities
- Familiarity with Gusto
Pay: $26.26 - $28.41 per hour
