The Production Administrator II supports efficient production operations by coordinating administrative processes, maintaining accurate production data, and facilitating communication between customers and internal teams. This role is responsible for timely follow-up, issue resolution, data integrity, and documentation management, ensuring smooth workflow execution and accurate invoicing. Through strong organizational skills and attention to detail, the Production Administrator helps drive operational efficiency and support production goals.
What you will be doing:
Monitor and promptly respond to service requests from internal and external team members
Collaborate with Sales, Estimation Engineers (EE’s), Project Managers (PM’s), and Project Planners (PP’s) to obtain purchase orders, track order status, and provide necessary updates
Resolve credit issues and address payment terms in coordination with the Accounting Department and customers
Utilize the corporate order entry system, IQS and Solid Jobs to import orders, set up shipments, and manage customer portals
Set up production orders (P2D2) within Solidjobs and Sage as required
Organize and maintain admin folders, ensuring accuracy and completeness of documents before submitting packages to the billing department for invoicing
Review and reconcile open order reports for EE’s, PM’s, and PP’s
Assist in obtaining End User Certificates (EUC’s) and create commercial invoices and USMCA’s when needed
Utilize Corporate CRM systems and order entry systems daily for data management, contact records, and order processing
Act as a key liaison on interdepartmental projects, particularly for the accounting department
Review daily updates, reports, and notifications, informing team members of pending concerns or issues
Provide backup support during peak times, vacations, and out-of-office events to ensure continuous customer coverage
Process customer reworks and returns, contributing to a culture of continuous improvement
Run DPS (Denied Party Screenings) batches twice a day during scheduled weeks
Participate in continuous improvement efforts both in the Fulfillment Services team and other areas of the organization (such as Operations) when requested
Follow all company safety policies and procedures
Attend all required company training

Must have for this role:
As a part of Stratasys, this position requires access to information and/or technology controlled under the International Traffic in Arms Regulations (ITAR) or the Export Administration Regulations (EAR). The successful candidate must be a U.S. Citizen, lawful permanent resident of the U.S. (or, green card holder), a protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State.
High School Diploma or equivalent
Minimum of two years of related experience customer facing, administrative and customer support experience, or operations experience in manufacturing
Excellent organizational and priority management skills
Experience building relationships with strong follow-through and attention to detail
Proficient in Microsoft Office products (Word, Excel, PowerPoint, Outlook)
Nice to have:
Post-secondary education
Knowledge of Salesforce.com
Manufacturing industry experience preferred
Travel required: 10%
