Facilities & Maintenance Coordinator
Position Summary
The Facilities Maintenance Coordinator is responsible for supporting the day-to-day upkeep, maintenance, safety, and operational readiness of company offices and facilities that do not have an on-site Property Manager. This position is expected to take a hands-on approach to facility maintenance, performing minor repairs and upkeep tasks directly whenever possible while coordinating professional vendors and contractors for specialized work requiring licensed or technical expertise.
This role serves as a key point of contact for facility operations, vendors, contractors, employees, and visitors while ensuring company locations remain functional, professional, safe, and well-maintained.
The ideal candidate is hands-on, highly organized, service-oriented, and capable of working independently to identify and resolve facility-related issues.
This is a 1099 position, which implies you have to have your own insurance or sign a waiver.
Key Responsibilities
Facilities Operations & Maintenance
· Perform minor building repairs and maintenance tasks, including patching drywall, touch-up painting, replacing fixtures, adjusting doors, assembling furniture, and addressing general facility issues.
· Assess maintenance and repair needs and determine the appropriate course of action for resolution.
- Ensure the overall upkeep, cleanliness, safety, and maintenance of assigned office and facility locations.
- Conduct regular facility inspections to identify maintenance, safety, operational, and appearance-related concerns.
- If necessary, frame, dry wall and paint new office builds.
- Perform move-in and move-out inspections and maintain appropriate documentation.
- Coordinate building maintenance, repairs, inspections, janitorial services, landscaping, HVAC services, security systems, and other vendor-provided services.
- Assist with hands-on facility needs including minor repairs, restroom inspections, room setups, furniture adjustments, and general maintenance tasks as needed.
- Respond promptly to facility requests and work orders, ensuring timely resolution of issues.
- Handle after-hours and emergency calls as required.
- Maintain all storage rooms orderly and clean per location.
- Conduct inventory of tools and supplies per location.
Vendor & Contractor Management
- Serve as the primary point of contact for vendors, contractors, building service providers, employees, visitors, and tenants where applicable.
- Review service agreements and contracts to ensure compliance with scope, timelines, quality standards, and budget requirements.
- Oversee custodial, maintenance, and special project contractors to ensure satisfactory performance and timely completion of work.
Procurement & Budget Support
- Manage facilities-related purchasing and procurement activities.
- Coordinate ordering of maintenance supplies, equipment, furniture, and operational materials.
Operational Leadership & Process Improvement
- Provide operational support across facility systems and serve as a key link between leadership objectives and day-to-day execution.
- Exercise sound judgment when assessing facility needs, prioritizing work, and addressing operational issues.
- Create, maintain, and improve operational systems, procedures, Standard Operating Procedures (SOPs), checklists, and workflows.
Office & Workplace Support
- Support office moves, workstation setups, and workplace organization projects.
- Ensure conference rooms, common areas, and work spaces are operational and presentation-ready.
- Support workplace events and special facility projects as assigned.
Qualifications
Required
- High school diploma or equivalent required; Associate degree or technical certification preferred.
- 2–4 years of facilities, maintenance, property management, building operations, or related experience.
- Basic knowledge of building systems, maintenance practices, and facility operations.
- Experience in remodeling.
- Strong organizational, problem-solving, and multitasking skills.
- Proficiency with Microsoft Office Suite.
- Ability to work independently while managing multiple priorities.
- Valid driver's license and reliable transportation.
Preferred
- Experience with multi-site facility operations.
- Knowledge of HVAC, electrical, plumbing, and general building maintenance systems.
- Familiarity with procurement and vendor management practices.
Physical Requirements
- Ability to walk facilities, climb stairs, bend, lift, and perform light maintenance activities.
- Ability to lift and move up to 50 pounds.
- Ability to work both indoors and outdoors in varying conditions.
- Availability to respond to emergencies and after-hours facility issues when needed.
