Job Title: Maintenance Manager Department: Management
Reports to: General Manager
Position Summary
The Maintenance manager is responsible for the successful performance of all mechanical equipment, systems and proper maintenance, upkeep and cleanliness of all common areas; to include landscaping, custodial and preventive maintenance programs. This entails:
- Insuring the staff is performing their duties and responsibilities properly and in accordance with all Government Regulations.
- Procuring Maintenance and Service Proposals with uniform specifications and Monitoring progress of in-house and contracted projects.
- Troubleshoot and identify solutions for any mechanical, plumbing and electrical issues.
- Performing regular property inspections to identify potential problems before they become hazardous or unsightly.
- Creating, implementing and monitoring Preventive Maintenance Programs.
- Providing guidance and training to Staff.
- Responding to emergency situations on an On Call / After Hours basis.
The Maintenance manager is an ambassador of The Hawaii Kai Peninsula. He / She will uphold Hawaii Kai Peninsula standards, policies and will provide superior presentation and customer service to owners, residents, contractors and Staff.
Essential Duties and Responsibilities:
- Uphold and enforce the rules and guidelines mentioned in Hawaii Kai Peninsula’s Employee Handbook, as well as the policies and procedures created by Hawaii Kai Peninsula’s Management Team.
- Maintain a safe and secure Site through regular inspections of common areas to include but not limited to: roof tops, hallways, grounds, painted surfaces, signage, landscaping, irrigation, HVAC equipment, electrical closets, swimming pools, parking lots, stairwells, lighting, plumbing etc. and take correction action promptly to avoid costly future repairs or injury.
- Maintain a digital pictorial record of all emergency shut off locations for electrical, plumbing, gas, water and major equipment. All shut offs must be neatly tagged.
- Maintain a current list of vendors, repair and service companies and emergency contact numbers for each vendor and contractor.
- Train, direct, guide and supervise Staff to perform their daily tasks.
- Insure Site is properly stocked with supplies, materials, chemicals, tools and equipment.
- Receive goods and services and submit invoices to the administration office for review, approval and payment process.
- Monitor outside Contractors and insure work is being performed properly and according to the terms of the executed agreement.
- Conduct regular inspection of the Site’s Facilities grounds and communicate any deficiencies and possible solutions to the General Manager.
- Adhere to established work and safety standards as well as local, state and federal rules, regulations and laws.
- Maintain a high degree of cleanliness and organization in the maintenance shop and storage areas as well as with tools, equipment and supplies.
- Promote an environment of caring, camaraderie, family and teamwork through courtesy and cooperation.
- Attend Homeowner Functions and Board Meeting as directed by the General Manager.
- Perform all reasonable requests by the Management Staff.
Customer/Client Interaction
Frequent direct contact with external or internal customers or clients; typically face-to-face contact; may be followed up with correspondence, telephone, email, etc.
Work Schedule
- Monday – Friday 8am to 5pm (flexible)
- Weekends as needed
- After hours as needed for Maintenance Projects, Repairs and Emergency Situations
- After hours / weekends as needed to attend Board Meetings and Residential Functions
Qualification Requirements
- Strong Hospitality and Leadership Skills

- At least 3 years Supervisory Experience Preferred
- Proficient in Microsoft Office
