Customer Care Representative – Phones, Scheduling & Lead Capture
Borgen’s Air Conditioning & Heating, is looking for a sharp, dependable, and motivated Customer Care Representative to join our growing team. This is not just a phone-answering position — this role is the first impression of our company and plays a key part in helping us capture leads, schedule appointments, and create an excellent customer experience.
We are looking for someone who is friendly, organized, confident on the phone, and able to handle customer calls with care and professionalism. The right person must understand that every call matters, every lead matters, and every customer deserves to feel heard, respected, and taken care of.
Responsibilities
- Answer incoming calls professionally and with a positive attitude
- Capture all customer information accurately, including name, phone number, address, service needed, and appointment details
- Schedule service appointments for HVAC, roofing, windows, gutters, and home improvement services
- Follow up with missed calls, new leads, estimates, and customer inquiries
- Confirm appointments and communicate updates clearly
- Enter customer information and notes into our system correctly
- Help organize the daily schedule for technicians and sales representatives
- Communicate with the office team, field team, and management
- Request reviews and follow up with customers after service
- Help make sure no lead or customer request is missed
Qualifications
- Customer service or office experience preferred
- Strong phone and communication skills
- Bilingual English/Spanish is a plus
- Must be organized, reliable, and detail-oriented
- Comfortable using phones, computers, email, and scheduling software
- Able to multitask in a busy office environment
- Must have a positive attitude and willingness to learn
- Must be dependable and show up on time
- Experience in HVAC, construction, dispatching, or home services is a plus but not required

Pay: $18.00 - $25.00 per hour
