New Song Studio - Queens Music School is a well-established music school dedicated to providing a warm, friendly, and encouraging environment for students, families, and teachers. Our school offers excellent lesson and practice spaces, supportive administrative staff, and a welcoming atmosphere for students of all ages.
We are conveniently located in Rego Park, Queens, within a short walk from the nearest subway station.
About the Role
We are looking for a reliable, organized, and welcoming Administrative Assistant / Front Desk Coordinator to join our team.
This person will often be the first point of contact for students, parents, teachers, and visitors. The ideal candidate is friendly, professional, detail-oriented, calm under pressure, and comfortable managing multiple tasks in a busy after-school and weekend environment.
This position is especially well-suited for someone who enjoys working with families, children, teachers, and the arts.
Key Responsibilities
- Greet students, parents, faculty, and visitors in a warm, professional, and helpful manner
- Answer phone calls, respond to emails, and direct inquiries appropriately
- Assist with student scheduling, lesson changes, trial lessons, make-up lessons, and calendar updates
- Maintain accurate attendance records, tuition records, payment notes, and student information
- Communicate clearly and professionally with parents, students, teachers, and administrative staff
- Provide general clerical and administrative support
- Help organize daily lesson schedules and support smooth transitions between lessons
- Assist with studio events, seasonal registration, reminders, and parent communications as needed
- Maintain a clean, organized, and welcoming reception, waiting, and common area
- Support other front-desk and studio-related tasks as needed
Qualifications
- Excellent verbal and written communication skills
- Friendly, patient, and professional communication style
- Strong organizational skills and attention to detail
- Ability to multitask, prioritize, and remain calm during busy periods
- Proficient in Microsoft Outlook and Google Workspace, including Google Drive, Docs, and Sheets
- Reliable, punctual, and consistent with assigned shifts
- Prior experience in administration, reception, customer service, education, childcare, or a family-facing environment preferred
- Conversational Mandarin is a strong plus, but not required
- Interest in music, education, or working with students is a plus
Schedule
Part-time schedule. Afternoon through evening, and weekend availability preferred. Specific hours will be discussed during the interview process.
