Job Overview
We are a small but growing law firm seeking a highly organized, detail-oriented Administrative Coordinator / Legal Assistant or Paralegal to support both client work and internal firm operations. This role is ideal for someone who enjoys bringing organization to complex workflows, building structure, improving systems, and being a key part of a collaborative team.
As our firm continues to grow, we are focused on strengthening and refining our internal processes. We are looking for someone who can help organize and enhance those systems, keep projects on track, and serve as a reliable point of coordination across both administrative and client matters.
This position combines administrative management, client service, and legal support across our corporate, estate planning, and estate administration practice areas. The right candidate will be comfortable working in an evolving environment and enjoy bringing structure and consistency to day-to-day operations.
Key Responsibilities
Firm Administration
- Set up client files, maintain records, and assist with billing
- Manage license renewals, registrations, and compliance tracking
- Organize documents and maintain internal systems
- Support onboarding and general office operations
Client Support
- Communicate with clients and provide updates
- Prepare and send engagement letters
- Format documents and manage signatures and records
Corporate / Business Law
- Assist with entity formations, EINs, and annual filings
- Maintain corporate records (minute books, stock ledgers)
- Support transactions and compliance tracking
Estate Planning & Administration
- Draft basic documents (wills, POAs)
- Prepare filings, track deadlines, and organize case materials
- Communicate internally, with clients and financial institutions
Qualifications
- Law firm or professional services experience preferred
- Paralegal experience a plus
- Strong Microsoft Office skills (Word, Excel, Outlook, document management systems experience preferred
- Highly organized self-starter with strong communication and time management skills
- Ability to manage multiple priorities and meet deadlines
- Notary preferred (not required)
- Openness to adopting AI solutions to streamline tasks and improve workflow efficiency

Pay: $60,000.00 - $70,000.00 per year
