Summary:
The Sales Assistant provides administrative and customer service support to the sales department. Responsibilities include assisting with customer inquiries, coordinating appointments, preparing documents, and maintaining accurate records. This role helps ensure efficient daily operations and supports the overall sales process within the dealership.

Process loan documentation accurately and in a timely manner.
Process DMV registration paperwork and submissions.
Communicate with banks regarding loan documents and approvals.
Perform general clerical tasks, including faxing, copying, and organizing files.
Collaborate with Finance Managers to prepare and manage customer files.
Provide administrative support for special projects and day-to-day tasks.
Coordinate with Sales Managers and Sales Representatives to gather required documentation.
Maintain and organize digital customer files, ensuring all required documents are uploaded and properly filed.
Provide backup support for the front desk operations as needed.
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Basic understanding of administrative and clerical procedures and systems to include recordkeeping and filing.
Proficient with Microsoft Office Suite or related software.
Ability to work effectively in a team-based environment with strong collaboration and support skills.
Experience in preparing car documentation for an auto dealership preferred.
Demonstrates good moral character and professional integrity.
Work Environment:
Work is regularly performed in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers/fax machines.
Physical Demands:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, and distance vision. Prolonged periods of sitting at a desk and working on a computer.
This is a full-time, non-exempt position. Standard days and hours of work are Monday through Saturday from 7:00 AM to 6:00 PM. Must be able to work 8 hours a day and will be given a regular day off.
HS diploma or GED equivalent
Bachelor’s Degree in relevant field preferred.
Experience in administrative support role.
Experience in supporting sales staff.
