Position
Office Manager. Part-time to start (around 20–28 hrs/week), in-office in Orem, Utah. Room to grow into a full-time seat as HNL grows.

What You'll Do
- Run QuickBooks — reconciliation, AR/AP, payroll, job costing tied to Buildertrend cost codes
- Onboard new jobs — contracts, deposits, preliminary notices, permits, Buildertrend setup
- Manage the daily and weekly rhythm of the office: phones, scheduling, vendor bills, client follow-up
- Prepare cash-flow and job-cost reports so the owner can decide, not guess
- Coordinate with our CPA on quarterly and year-end tax prep
- Light HR — new hire paperwork, timekeeping review, basic compliance
- Support marketing and admin — Instagram cadence, website updates, photo organization
- Set the weekly rhythm that lets the field crew show up to a smooth-running company
Skills & Requirements
- 2+ years bookkeeping or office management in construction, trades, or small business
- Strong QuickBooks Online proficiency, including job costing
- AR/AP and payroll experience (Gusto, ADP, or QB Payroll)
- Comfortable with Buildertrend, or fast to learn it
- Calm under deadline pressure
- Strong written and phone communication
- Bonus: construction lien notices, contractor licensing, or prior small-business right-hand role
Compensation & Hours
- $22+/hr DOE, paid hourly
- Around 20–28 hours/week to start, weekday daytime hours (schedule flexible within reason)
- Benefits: paid time off
- We're a small, growing company. PTO is the only benefit we offer today — we'd rather be straightforward about that than oversell. Hours and pay grow with the role as the company grows.
What Success Looks Like in the First 90 Days
- The books are clean and reconciled weekly, no late vendor surprises
- Invoices go out within 48 hours of milestones; AR follow-up is on a calendar, not in someone's head
- Payroll runs without drama
- New jobs onboard the same way every time — contract, deposit, preliminary notice, permit, Buildertrend folder
- The owner is back in the field, not buried in admin
