POSITION OVERVIEW
Evernest is seeking an experienced, proactive, and highly organized Property Manager to oversee the day-to-day operations and leasing of The Field’s Lofts, a multifamily residential community in Chicago’s Logan Square neighborhood.
This is a dedicated, on-site multifamily management role requiring a strong understanding of property operations, leasing, financial performance, resident relations and retention, maintenance oversight, compliance, and client communication.
The Property Manager serves as the primary operational leader for the property and the owner’s advocate, with responsibility for protecting the asset, driving NOI, maximizing occupancy, maintaining resident satisfaction and retention, and ensuring the property operates in accordance with ownership expectations, approved budgets, and applicable regulations.
The Property Manager will partner closely with the property owner, Evernest Accounting and Property Services teams, vendors, contractors, and condominium association management.
The ideal candidate has direct multifamily property management and leasing experience, strong financial acumen, excellent communication and leadership skills, and the ability to independently manage a high-touch residential community.
Responsibilities:
Property & Resident Operations
- Oversee all day-to-day operations of The Field’s Lofts and serve as the primary management point of contact for the property.
- Deliver an exceptional resident experience while maintaining appropriate policies, expectations, and accountability.
- Proactively address resident concerns and identify recurring issues that may affect resident satisfaction or retention.
- Plan and host resident events and engagement activities designed to build community and improve resident retention.
- Oversee move-ins, move-outs, resident communications, lease compliance, collections, and other day-to-day property management functions.
- Conduct regular property walks and inspections to ensure common areas, amenities, units, and building operations meet established standards.
- Ensure the property remains compliant with applicable local, state, federal, and Fair Housing requirements.
- Understand and appropriately administer requirements related to Chicago’s Affordable Requirements Ordinance (ARO) units.
Leasing & Revenue Performance
- Directly manage and execute all leasing activity for The Field’s Lofts, including prospect communication and follow-up, property tours, applications, lease execution, and move-in coordination.
- Maintain consistent follow-up with prospective residents and manage the leasing pipeline from initial inquiry through lease execution.
- Monitor vacancy, lead activity, showings, applications, conversion rates, pricing, concessions, renewals, and upcoming lease expirations.
- Manage lease renewals and develop strategies to improve resident retention and reduce avoidable turnover.
- Ensure all leasing practices comply with Fair Housing, ARO, and applicable Chicago requirements.
Maintenance & Capital Projects
- Directly oversee and provide day-to-day leadership, direction, and accountability to the property’s on-site maintenance technician.
- Monitor open work orders, preventative maintenance, recurring building needs, and completion timelines.
- Partner with property services, contractors, and vendors to ensure maintenance and repair needs are completed timely and to property standards.
- Coordinate larger repairs, renovations, preventative maintenance programs, and capital improvement projects.
- Partner with condominium association management on shared building matters, repairs, maintenance responsibilities, capital projects, and other property initiatives requiring coordination between the residential property and association.
- Monitor vendor and contractor performance, timelines, scopes of work, and expenses.
- Maintain clear documentation and communication regarding project scope, responsibility, timelines, costs, and completion.
Financial Management & Monthly Reporting
- Develop, manage, and monitor the property’s annual operating budget.
- Review property income and expenses and ensure operations remain aligned with approved budget expectations.
- Understand and work effectively with accrual-based accounting and financial reporting.
- Review monthly financial statements and identify material variances, trends, concerns, and opportunities.
- Prepare and deliver comprehensive monthly owner reporting addressing financial performance, leasing, occupancy, delinquency, maintenance, capital projects, resident activity, and other material property matters.
- Monitor resident delinquency and collections activity and ensure appropriate follow-up and escalation.
- Identify opportunities to control expenses, improve operational efficiency, increase revenue, and strengthen NOI.
- Partner with Accounting to ensure accurate and timely property-level financial reporting.
Owner & Stakeholder Relations
- Serve as the primary operational advocate and point of contact for the property owner.
- Maintain proactive and consistent communication regarding property performance, financial results, resident matters, leasing, maintenance, and capital projects.
- Prepare additional reports and analysis as requested by ownership and Evernest leadership.
- Maintain a productive working relationship with condominium association management and coordinate matters affecting shared building operations and projects.
Leadership & Accountability
- Provide direct oversight, expectations, coaching, and accountability for the on-site maintenance technician.
- Partner effectively with Evernest’s Accounting, Property Services, Resident Services, and leadership teams.
- Execute property operations in alignment with company targets and KPIs.
- Develop and implement processes that improve the efficiency and effectiveness of property operations.
- Maintain accurate documentation and historical records within Evernest’s systems.
- Own property-level outcomes while recognizing when matters require escalation to leadership, legal, accounting, or other operational resources.
What We’re Looking For
- Previous multifamily property management experience required.
- Experience managing a dedicated, on-site multifamily community strongly preferred.
- Demonstrated multifamily leasing experience strongly preferred.
- Active Illinois Leasing Agent or Broker license preferred. Candidates without an active license should be willing and able to obtain the appropriate Illinois real estate license.
- Ability and willingness to personally conduct property tours, manage prospect follow-up, process leasing activity, and convert qualified leads into executed leases.
- Strong understanding of leasing, resident relations and retention, maintenance operations, collections, budgeting, and financial reporting.
- Demonstrated ability to read and understand property financial statements, operating budgets, accruals, and variance reporting.
- Experience preparing monthly property performance and financial reporting for ownership.
- Experience supervising maintenance personnel and managing vendors, contractors, and property projects.
- Strong understanding of Fair Housing and applicable property management regulations.
- Familiarity with Chicago multifamily operations and ARO requirements strongly preferred.
- Experience working with condominium associations or shared building operations is a plus.
- Strong written and verbal communication skills.
- Demonstrated ability to manage owner/client relationships and navigate difficult conversations professionally.
- Strong organizational skills with the ability to manage competing priorities while maintaining attention to detail.
- Ability to operate independently while effectively collaborating across multiple teams.
- Comfortable using property management software and technology to manage communication, workflows, documentation
