Insurance Claims Intake Coordinator | Public Adjuster License Required After Hire
Pay: $21.50 per hour, plus performance bonuses

Location: Remote within Minnesota, with the ability to report to our office one to two days per week whenonfidently move forward
Most homeowners who contact Clarion Claims Group are dealing with property damage, insurance questions, confusing paperwork, or a claim that has not been handled correctly. They need someone who will listen, clearly explain what happens next, and make sure nothing falls through the cracks.
We are hiring an Insurance Claims Intake Coordinator to manage the client experience from the first consultation through the completed handoff to the assigned Public Adjuster.
This position combines customer service, client onboarding, claims administration, and sales. You must be comfortable discussing Clarion’s fee, explaining the value of our services, handling reasonable objections, and directly asking qualified homeowners to sign an agreement.
This is not a high-pressure sales position. We do not want clients signing agreements they do not understand or later regret. The goal is to help qualified homeowners make an informed and confident decision while maintaining a very low cancellation rate.

Clarion Claims Group is a Minnesota-based Public Adjusting firm. We represent homeowners and property owners during insurance claims and help ensure their damages are properly documented, reviewed, and presented to the insurance company.
Our clients are often stressed, overwhelmed, or frustrated when they contact us. We take the time to explain the process in plain language, set honest expectations, and treat each client with respect.

What you will do
- Lead client consultations and close qualified clients
- Conduct Google Meet or Zoom consultations with prospective clients
- Learn about the property, damage, claim history, contractor involvement, and current concerns
- Explain Clarion’s services, fee, process, and client responsibilities
- Answer questions clearly and honestly without guaranteeing claim results
- Help homeowners understand why hiring a public adjuster may benefit them
- Confidently ask qualified homeowners to hire Clarion
- Handle common questions and objections related to the fee and process
- Send agreements and follow up until they are signed or the homeowner makes a final decision
- Make sure clients understand what they are signing before moving forward
- Bring in the owner or another experienced public adjuster when a difficult or complex close requires additional support
- Work toward strong conversion rates while maintaining a very low cancellation rate
Set up every new claim correctly
- Create and organize new files in Clarion’s custom claims CRM
- Verify client names, contact information, property addresses, carrier information, claim numbers, dates of loss, and contractor information
- Upload and properly label documents
- Review each intake for missing, incomplete, or conflicting information
- Document the homeowner’s concerns, current claim status, and desired outcome
- Keep detailed notes so the assigned public adjuster can immediately understand the file
- Make sure the assigned public adjuster receives a complete and organized handoff
Gather policies and claim documentation
- Request insurance policies, carrier estimates, claim letters, payment documents, and other records
- Follow up with insurance carriers until requested documents are received
- Follow up with homeowners and contractors for estimates, photos, invoices, inspection reports, contracts, material reports, and other supporting documents
- Track all outstanding items
- Continue following up until the file is complete
- Keep the homeowner, contractor, and assigned public adjuster informed about what is still needed
- Identify missing information before it delays the claim
Manage the intake and onboarding pipeline
- Respond promptly to new leads
- Maintain accurate follow-up dates, notes, and tasks
- Track each prospective client from the first contact through signing and file completion
- Identify stalled leads and take action to move them forward
- Make sure agreements are properly completed
- Coordinate the transition from intake to the assigned public adjuster
- Provide a professional and consistent experience for homeowners and referral partners
What success looks like
Success in this position is measured by the complete client experience, not just the number of signed agreements.
Performance will be evaluated based on:
- Conversion of qualified consultations into signed clients
- Low client cancellation rates
- Accuracy and completeness of new claim files
- Speed of file setup
- Policy and document collection
- Consistency of follow-up
- Quality of CRM notes
- Client satisfaction
- Communication with homeowners and contractors
- Successful handoffs to assigned public adjusters
- Ability to manage the workload without missed tasks or repeated reminders
Required qualifications
- Previous insurance claims experience
- Previous customer service, account management, client onboarding, or inside sales experience
- Strong organizational skills
- Close attention to detail
- Reliable follow-through
- Ability to manage multiple clients, documents, deadlines, and follow-up tasks at the same time
- Comfortable leading professional video consultations
- Comfortable discussing service fees
- Comfortable directly asking qualified clients to sign an agreement
- Strong written and verbal communication skills
- Ability to explain complicated information in simple terms
- Comfortable using a CRM, email, video conferencing, electronic signature software, and cloud-based documents
- Must live in Minnesota
- Must be able to report to Clarion’s office one to two days per week when requested
- Must maintain a professional, quiet, and private remote work environment
- Must be willing and able to obtain a Minnesota public adjuster license
- Must be willing to personally pay all licensing and bond costs
- Must be willing to surrender or terminate any conflicting insurance company or independent adjuster license
Preferred qualifications
- Property insurance claims experience
- Current or previous adjuster experience
- Current Minnesota public adjuster license
- Roofing, restoration, or construction experience
- Experience working with homeowners after property damage
- Experience requesting policies and claim documents from insurance carriers
- Experience reviewing carrier estimates or claim correspondence
- Experience using a claims management system or CRM

Compensation and time off
- $21.50 per hour

- Bonuses are based on overall performance and are not paid as a percentage of insurance claim proceeds

Public adjuster license requirement
You do not need to currently hold a public adjuster license to apply, but you must be willing and able to obtain a Minnesota public adjuster license after being hired.
You will not independently solicit public adjusting clients, advise homeowners about their claims, or perform other licensed duties until you have obtained the required license.
The employee is responsible for all costs associated with obtaining and maintaining the license, including:
- Licensing application fees
- Examination fees
- Fingerprinting or background check costs
- The required public adjuster surety bond
- Renewal and continuing education costs
Clarion Claims Group will not pay for or reimburse the cost of the license or bond.
If you currently hold an insurance company adjuster license, independent adjuster license, or another insurer-side adjuster credential, you must be willing to surrender or terminate that license before obtaining and using a public adjuster license for this position.
You must also be willing to leave any carrier-side or independent adjusting position that creates a conflict with representing policyholders through Clarion.
Pay: $20.50 - $21.50 per hour
