Administrative Legal Assistant – Full-Time
We are seeking a highly organized, dependable, and professional Administrative Legal Assistant to join our Immigration Law team on a full-time basis.
The ideal candidate is someone who can confidently manage a large caseload, prioritize multiple tasks, follow up consistently, and provide excellent customer service to clients. This position requires strong attention to detail, excellent organizational skills, professionalism, and the ability to work efficiently in a busy office environment.
Key Responsibilities
- Greet and assist clients when they come into the office, providing a professional and welcoming experience.
- Provide clients with the appropriate intake forms and information and assist with the intake process.
- Create and organize new client/matter files and cases when a new matter is retained.
- Prepare and create invoices for new matters and assist with related administrative and billing tasks.
- Maintain accurate and organized client records, files, and documentation.
- Manage and prioritize a large caseload while ensuring that tasks and client matters are handled accurately and on time.
- Maintain strong follow-up skills to ensure that outstanding tasks, documents, client communications, and other matters are addressed promptly.
- Communicate with clients in a professional, courteous, and helpful manner.
- Provide excellent customer service and respond to client questions and requests appropriately.
- Perform data entry, filing, scanning, photocopying, document preparation, and other general administrative duties.
- Assist with basic accounting or administrative functions as needed.
- Work closely with other members of the office to ensure that client matters are properly organized and processed.
- Maintain confidentiality and professionalism when handling client information and documents.
Required Qualifications & Skills
- Minimum 2 years of experience working in an office environment, preferably in administrative assistance, filing, data entry, accounting, client services, or a similar position.
- Bilingual in ENGLISH and SPANISH.
- Fluent in English, both spoken and written.
- Computer literate with an intermediate command of Microsoft Word and Microsoft Excel.
- Comfortable using basic office equipment, including desktop computers, scanners, and photocopiers.
- Excellent organizational and time-management skills.
- Ability to manage a high volume of cases, clients, and administrative tasks without losing attention to detail.
- Strong follow-up and task-management skills.
- Excellent customer service and interpersonal skills.
- Professional, courteous, and comfortable interacting directly with clients.
- Ability to prioritize work, meet deadlines, and handle multiple responsibilities simultaneously.
- Dependable, punctual, and able to work independently as well as part of a team.

Previous experience in a law office, professional services environment, or another client-focused office setting is a plus.
