The Ballroom at the Commercial Club is looking for a warm, highly organized Client Experience & Events Coordinator to help care for our booked clients and keep the details behind our events running smoothly.
This is a great fit for someone who is naturally good with people and loves keeping track of details. You do not need years of wedding or event experience. We care much more about whether you communicate well, stay organized, follow through, and can take ownership of a project without needing to be reminded of every next step.
What You’ll Do
Once a client books with us, you’ll help guide them through the planning process and make sure the details we discuss actually happen.
Your responsibilities will include:
- Communicating with booked clients and answering routine planning questions
- Tracking planning forms, deadlines, vendor information, guest counts, timelines, and layouts
- Taking detailed notes during client meetings and following through on decisions
- Coordinating event logistics with vendors and our internal team
- Maintaining organized client files and event information
- Helping prepare final event plans and staff instructions
- Following up with photographers and videographers after weddings to collect galleries and content
- Sending post-event follow-up, review requests, and other client communication
- Helping lead venue tours alongside the Venue Director
- Planning and executing events hosted by the Ballroom, from timelines and vendors to RSVPs and day-of logistics
Our Venue Director handles new inquiries, sales, pricing, contracts, and major planning decisions. Your role is to be the details person who keeps everything organized and makes sure the plan gets carried through.
Schedule
This is a hybrid position with significant work-from-home flexibility.
Thursdays are our primary in-office day for client meetings, tours, team planning, and event preparation.
Most administrative work can be completed remotely.
Occasional additional in-person availability will be needed for tours, internal Ballroom events, or client events. Weekend work is generally limited to a few hours around events you are helping coordinate, such as greeting a wedding party or vendors, helping with an important transition, or handing the event off to our evening Venue Hostess.
This is not intended to be an every-weekend, late-night wedding job.

Wedding or event experience is a plus, but it is not required. We are very open to training the right person.

What Happens Next
Candidates who move forward may be given a short fictional event-planning exercise and asked to organize the information in whatever format makes the most sense to them.
There is no single “correct” format. We’re interested in seeing how you identify priorities, track missing information, organize details, and make a plan easy for someone else to understand.
We’re less interested in a perfect résumé than we are in finding someone who is kind, capable, organized, dependable, great with people, and genuinely good at making things happen.
Pay: $18.00 - $22.00 per hour
