The Office & Project Coordinator plays a key support role within our office by assisting with daily administrative tasks, project coordination, and customer communication. Working under the direction of the Office & Operations Coordinator, this position helps ensure projects stay organized, documentation is accurate, and communication flows smoothly from the office to the field.
Primary Responsibilities
- Support the Office & Operations Coordinator with daily office and project administration.
- Answer incoming calls and greet customers in a friendly, professional manner.
- Assist in preparing contracts, proposals, permits, change orders, and project documents.
- Coordinate appointments, meetings, inspections, and material deliveries.
- Maintain project files and ensure documentation is accurate and up to date.
- Communicate with homeowners, subcontractors, suppliers, and team members regarding schedules and project updates.
- Monitor project milestones and help keep projects moving through each phase of construction.
- Assist with ordering office supplies and project materials.
- Perform general administrative duties to support the office and construction team.
Qualifications
- Previous experience in an administrative, office, or project coordination role.
- Working knowledge of residential construction, remodeling, building systems, and the typical sequence of residential construction projects is strongly preferred.
- Excellent organizational skills with strong attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Experience with Buildertrend, QuickBooks, or other construction software is a plus.
- Professional, dependable, and customer-focused.
