Job Summary
We are seeking an analytical, detail-oriented, and highly organized Administrative Assistant to join our team. Unlike a traditional receptionist role, this position focuses heavily on backend operations, including precise data entry, system setup, continuous process monitoring, and reporting. The ideal candidate loves structure, possesses strong technical aptitude, and ensures that our operational data remains accurate, complete, and actionable.
Key Responsibilities
- Data Entry & Management: Input, update, and maintain critical operational, client, and inventory data across company databases and software platforms with high speed and zero errors.
- System & Account Setup: Assist with the onboarding and setup of new accounts, vendor profiles, inventory lines, or internal tracking workflows.
- Operational Monitoring: Regularly monitor daily logs, operational workflows, and tracking systems to identify discrepancies, track compliance, or flag anomalies for management.
- Reporting & Analytics: Compile data from various sources to generate weekly, monthly, or ad-hoc operational reports; format data into clear, easy-to-read spreadsheets or summaries for leadership.
- Documentation: Maintain meticulously organized digital filing systems and document standard operating procedures (SOPs) for data workflows.
- General Administrative Support: Assist the management team with drafting official communications, organizing documentation, and handling routine vendor or client correspondence.
Qualifications & Skills
- Experience: 1–3 years of experience in data entry, administrative operations, or a clerical role with a heavy focus on reporting.
- Technical Proficiency: Advanced skills in Microsoft Excel and Google Sheets (e.g., formulas, data sorting, formatting); quick to learn specialized company databases and enterprise software.
- Attention to Detail: An exceptional eye for detail and data integrity—someone who catches the small errors before they impact the business.
- Analytical Skills: Ability to look at numbers, logs, and tracking sheets, spot patterns, and summarize findings clearly.
- Time Management: Highly organized with the ability to manage recurring daily, weekly, and monthly data tasks independently.
