JOB SUMMARY
The CONTRACTOR SOURCING INTERN will support vendor development efforts within the HVAC and Electrical departments. This role focuses on identifying and onboarding qualified contractor companies to serve as trusted vendor partners. The intern will work directly with department managers to build and maintain a reliable network of trade contractors available for project-based and emergency needs.
JOB DUTIES AND RESPONSIBILITIES:
1. IDENTIFY qualified HVAC and Electrical contractor companies available for vendor partnership using online directories, trade associations, and outbound calling.
2. CONDUCT outreach calls to contractor companies in targeted geographic areas to assess availability, capabilities, and interest in becoming a preferred vendor.
3. COLLECT and organize required vendor documentation, including W-9 forms, Certificates of Insurance (COI), licensing, and payment terms.
4. SUBMIT completed vendor packages for internal approval and ensure all documentation meets company requirements prior to activation.
5. MAP vendor coverage by trade type and geographic area to identify gaps and prioritize outreach efforts.
6. MAINTAIN an accurate and up-to-date vendor database, including trade specialty, service area, contact information, and availability.
7. COORDINATE with department managers to understand current and upcoming project needs and source vendors accordingly.
8. FOLLOW UP with prospective vendors to move them through the onboarding process in a timely manner.
9. SUPPORT reporting on vendor pipeline status, coverage gaps, and onboarding metrics.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of basic office procedures and administrative practices

- Skilled in basic data entry and use of office equipment
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Ability to follow instructions and work with minimum supervision
- Ability and willingness to learn construction terminology and operational processes.
- Ability to maintain confidentiality of employee, customer, and company information.
MINIMUM QUALIFICATIONS:
Currently enrolled in or recently graduated from a relevant program (Construction, Business)
Basic proficiency in Microsoft Office (Excel, Outlook, Word)
Strong organizational and time management skills
Effective written and verbal communication skills
Willingness to learn and adapt in a dynamic environment
SPECIAL QUALIFICATIONS
Must pass a criminal background check
