Overview
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and clients, and support daily administrative functions. Duties
- Greet visitors, clients, and vendors with professionalism and a friendly attitude, ensuring they feel welcomed and valued
- Answer multi-line phone systems promptly, directing calls efficiently and courteously using proper phone etiquette
- Manage appointment scheduling, calendar management, and coordinate meetings using various digital tools such as Google Workspace and Microsoft Office
- Handle incoming and outgoing correspondence, including emails, mail, and packages, with accuracy and attention to detail
- Maintain organized filing systems, data entry records, and perform proofreading to ensure document accuracy
- Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including typing, photocopying, faxing, and maintaining cleanliness of the reception area
Experience
- Prior office experience or administrative support experience is preferred; familiarity with front desk or receptionist duties is a plus
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Demonstrated customer service skills with a professional demeanor and strong phone etiquette
- Experience with medical or dental receptionist roles is advantageous; familiarity with medical or dental office procedures is a bonus
- Personal assistant or office management experience that includes calendar management and data entry will be highly valued
