Role Overview
The listing coordinator is responsible for ensuring every listing we bring to market is executed flawlessly from preparation through closing. This role is the operational backbone of our listing business, handling coordination, documentation, and marketing support so our agents can focus on what they do best: serving clients.
We believe the details are what separate a good experience from an unforgettable one. A seller should never have to wonder what's happening next or chase down an answer. The listing coordinator makes that seamless experience possible behind the scenes.
This is a full-time position based in Austin, Texas.
Detailed Responsibilities
The following four areas represent the full scope of the listing coordinator role. Each area includes specific responsibilities with descriptions of what execution looks like in practice.
1. Listing Preparation and Vendor Coordination
Every property should be market-ready on schedule, with every detail handled before anyone has to ask.
Photography scheduling: Book photographers based on property needs and staging timelines; confirm appointments with sellers and photographers; ensure access instructions are clear and complete.
Staging coordination: Schedule staging consultations and installations; communicate timeline and access details with stagers and sellers; confirm staging completion before photography.
Vendor management: Coordinate cleaners, window washers, landscapers, handymen, and other service providers as needed; track completion and follow up on any issues before they become problems.
Signage and lockboxes: Arrange sign installation; coordinate lockbox placement; ensure all access systems are functional before first showing.
Pre-listing walkthrough support: Prepare property information packets; ensure disclosure documents are ready; confirm all prep tasks are complete before go-live so launch day feels effortless.
2. MLS Management and Documentation
Accuracy and attention to detail are non-negotiable. Small errors create big friction, and we don't do friction.
MLS entry and updates: Input new listings into Unlock MLS with complete, accurate information; manage price changes, status updates, remarks edits, and document uploads.
Portal accuracy: Ensure listing information syncs correctly to Zillow, Realtor.com, Redfin, and other major portals; troubleshoot and correct discrepancies before anyone notices.
Listing document preparation: Prepare CMA packets, disclosure documents, listing agreements, and property feature sheets for agent review and signature.
Property information collection: Gather measurements, utility details, HOA information, upgrades, and property features; organize in standardized format for marketing and MLS use.
Compliance and file maintenance: Maintain organized digital and physical files in accordance with Compass and TREC requirements; ensure all documentation is complete and audit-ready.
3. Marketing Support
Every listing should look and feel like it belongs to The Muñoz Group. Polished, consistent, and unmistakably ours.
Photo uploads and organization: Upload and organize listing photography; ensure correct order and highlight key features; manage virtual tour links and video content.
Property descriptions: Write or refine property descriptions that are accurate, compelling, and consistent with our brand voice; ensure descriptions are tailored to the property and target buyer.
Marketing collateral: Create Just Listed, Open House, and Just Sold flyers using Canva and Compass Marketing Center brand templates; ensure all materials meet brand standards before distribution.
Social media support: Assist with listing-related social posts, including drafting captions, formatting content, and scheduling posts as directed.
Print and digital coordination: Coordinate with vendors for printed materials as needed; ensure digital assets are correctly formatted for each platform.
4. Showings, Communication, and Administrative Support
Sellers should always feel informed, cared for, and confident that their listing is in good hands.
Showing coordination: Confirm showing appointments; gather and organize showing feedback; prepare regular seller feedback reports so clients are never left wondering.
Open house support: Assist with open house logistics including scheduling, signage, and materials preparation; coordinate follow-up as needed.
Seller communication: Serve as a point of contact for listing-related questions; keep sellers informed on timeline, activity, and next steps with warmth and clarity.
Team communication: Keep agents and team members updated on listing status, vendor progress, and any issues requiring attention.
General administrative support: Handle additional listing-related tasks as assigned; pitch in where needed to keep the listing operation running smoothly; assist with other team administrative work as needed.
Qualifications
Required
- Active Texas real estate license, or ability to acquire one
- Strong organizational skills with excellent attention to detail and follow-through
- Proficiency with Google Workspace, Canva, social media platforms, and electronic signature tools
- Clear, professional written and verbal communication
- Ability to manage multiple listings and competing deadlines without losing the thread
- Full-time availability with flexibility for evening and weekend work as needed
Preferred
- Previous experience in residential real estate, escrow, title, or property management
- Prior experience with MLS systems, Monday, and Notion
- Project management experience
- Familiarity with Compass tools and platforms
