About FIADA
The Florida Independent Automobile Dealers Association (FIADA) is a nonprofit organization dedicated to supporting independent automobile dealers throughout Florida through education, advocacy, networking, and exclusive member benefits. We are looking for an energetic, organized, and customer-focused Administrative Assistant to join our growing team.
Position Summary
This is not your typical administrative position. We are looking for someone who enjoys building relationships, providing exceptional customer service, and helping grow our membership through outbound sales and member engagement.
The ideal candidate is highly organized, bilingual (English & Spanish), has experience in both sales and the automotive industry, and is confident speaking with dealership owners and industry professionals.
This position reports directly to the Executive Assistant and Executive Director and works closely with association leadership to support daily operations, member services, events, and administrative initiatives.
Responsibilities
- Answer and direct incoming phone calls and emails professionally.
- Provide outstanding customer service to current and prospective members.
- Conduct outbound sales calls to recruit new members and renew existing memberships.
- Build and maintain strong relationships with independent automobile dealers and industry partners.
- Process memberships, invoices, and payments accurately.
- Maintain databases and update member records.
- Assist with planning and coordinating meetings, webinars, training events, and conferences.
- Prepare correspondence, reports, spreadsheets, and presentations.
- Manage calendars and schedule appointments.
- Support the Executive Assistant and Executive Director with administrative projects and day-to-day operations.
- Assist with marketing campaigns, social media, and email communications.
- Perform general office and administrative duties as assigned.
Required Qualifications
- Fluent in both English and Spanish (required).
- Previous automotive industry experience (required).
- Previous sales experience with a proven ability to meet goals (required).
- Minimum of 2 years of administrative or office experience.
- Excellent verbal and written communication skills.
- Strong computer skills including Microsoft Office (Word, Excel, Outlook).
- Highly organized with excellent time-management skills.
- Professional phone etiquette.
- Ability to multitask in a fast-paced environment.
- Self-motivated with a positive attitude.
- Reliable transportation.
Preferred Qualifications
- Experience working with automobile dealerships.
- CRM or membership database experience.
- Event planning or customer relationship management experience.
- QuickBooks or accounting software experience is a plus.
