About the Role
As our Customer Service Representative & Dispatcher, you will be the first impression customers have of Castle Garage Doors and the central point of communication between our customers and field technicians.
You will answer incoming calls, schedule appointments, dispatch technicians, communicate with customers throughout the day, and help ensure every job runs smoothly from the first phone call through final payment.
This is an important operational role for someone who enjoys helping people, solving problems, staying organized, and using technology to improve how work gets done.
What You’ll DoCustomer Experience
- Answer incoming calls and provide friendly, professional customer service
- Understand each customer’s needs and schedule the appropriate appointment
- Provide appointment confirmations, arrival updates, and other customer communication
- Follow up with customers regarding open jobs, estimates, invoices, and service requests
- Help ensure every customer receives a five-star experience
Dispatch and Scheduling
- Build and manage daily technician schedules
- Dispatch technicians efficiently based on location, availability, skills, and customer needs
- Adjust schedules throughout the day as appointments and priorities change
- Communicate job information, schedule changes, and customer needs to technicians
- Help minimize technician downtime and keep the day running smoothly
Job and Office Operations
- Create and update customer records, job notes, work orders, estimates, and invoices
- Ensure job information is complete and accurately entered into our systems
- Process payments and help close out completed jobs promptly
- Follow up on missing information and tasks that could otherwise fall through the cracks
- Support the team with general office responsibilities and special projects
Technology and Process Improvement
- Learn and effectively use our scheduling, communication, invoicing, and job-management systems
- Use AI, automation, and other technology tools to work more efficiently and improve the customer experience
- Identify repetitive work or operational problems that could be improved through better systems
- Help test and implement new tools, workflows, and processes as the company grows
- Maintain accurate information so our systems, reporting, and automations work properly
You do not need to be a technology expert. However, you should be curious, comfortable learning new tools, and excited about using technology to help the company scale.

- Customers feel informed, cared for, and confident throughout their experience with Castle
- Calls are answered professionally and appointments are booked accurately
- Technicians have organized schedules and the information they need to serve customers
- Schedule changes are handled calmly and communicated clearly
- Jobs are properly documented, invoiced, and closed without unnecessary delays
- Technology and systems are used consistently so important details do not fall through the cracks
- You actively look for ways to make the office and customer experience more efficient

Preferred Qualifications
- Previous customer service, dispatching, scheduling, or office experience
- Experience working for a home service, construction, or trade company is helpful but not required
- Experience with CRM, dispatching, invoicing, or field-service software is a plus
- Experience coordinating Home Depot service or installation work is a plus
- Bilingual English and Spanish is a plus, but not required
