Position Summary
We are seeking a proactive, organized, and detail-oriented Office Coordinator to join our growing home care agency. This role serves as the central link between caregivers, nurses, clients, and case managers—ensuring smooth daily operations, accurate scheduling, and exceptional customer service.
The ideal candidate is a natural problem-solver who is confident, decisive, and able to take control of daily operations without constant oversight. This individual must possess strong communication skills, leadership ability, and the flexibility to thrive in a fast-paced, high-demand environment.
This is a leadership-based role within a fast-paced home care agency.
The Office Coordinator must be able to:
- Lead and supervise office staff and caregivers with confidence and authority
- Address performance issues directly and enforce company policies without hesitation
- Make real-time operational decisions without constant direction from the Owner
- Handle high-pressure situations, including call-outs, scheduling conflicts, and urgent client needs, with urgency and composure
- Take full ownership of daily operations, ensuring all shifts are covered, staff are performing, and issues are resolved without delay
- Be accountable for ensuring schedules are fully staffed and operations run smoothly each day
- Work independently while maintaining accountability for outcomes
- Communicate clearly, directly, and professionally—even in difficult or uncomfortable situations
This position is not suited for individuals who require constant direction, avoid conflict, or struggle to make decisions under pressure.
Core Responsibilities
- Serve as the first point of contact for employees, clients, and visitors; deliver professional customer service.
- Manage scheduling, call-outs, rescheduling, and coverage to ensure clients receive timely care.
- Confirm nurse visits, staff onboarding, and caregiver placement within 48–72 hours.
- Conduct follow-up calls (QI) with clients and caregivers after staffing to ensure service quality.
- Handle and escalate missed visits, urgent client issues, and complaints within required timeframes.
- Coordinate employee onboarding: review applications, process background checks, schedule orientations.
- Support new employee training and conduct performance evaluations.
- Track caregiver availability, overtime, clock-ins/outs, and maintain accurate records.
- Prepare monthly staffing schedules and assist with quarterly audits.
- Share on-call responsibilities for evenings/weekends (must respond within 30 minutes).
- Provide weekly reports and assist the owner with problem-solving and operations.
- Maintain HIPAA and ePHI compliance at all times.
- Mandatory overtime as needed
Qualifications
- Must be at least 21 years old and pass a background check.
- GED or High School Diploma required; further education a plus.
- Valid Georgia driver’s license and auto insurance.
- CPR & First Aid certification and current TB test.
- Prior caregiver or home care administrative experience highly preferred.
- Familiarity with Georgia CCSP/EDWP waiver programs preferred (not required).
- Strong computer skills, including Microsoft Office and scheduling software.
- Excellent written and verbal communication skills.
- Ability to multi-task, prioritize, and meet deadlines in a high-demand environment.
- Must demonstrate patience, empathy, and professionalism when interacting with clients, caregivers, and case managers.
