The Chestnut Hill Conservancy seeks an Administrative Manager to provide critical administrative support for the Conservancy’s office management, programming, and fundraising.
Founded in 1967 as the Chestnut Hill Historical Society, the Chestnut Hill Conservancy is a community educational center, archive, land trust, and advocate for the preservation, conservation, and history of neighborhoods in the Wissahickon watershed in and around Philadelphia. The Conservancy’s mission is to conserve, preserve, and celebrate history, architecture, and landscapes in Chestnut Hill and the lower Wissahickon watershed through inclusive and proactive community engagement, advocacy, and stewardship. More information is available at https://chconservancy.org/. Reporting to the Executive Director, the Administrative Manager will join a strong, collegial, and supportive team at the Conservancy.
Responsibilities include:
● Office Support (55% of time)
○ Coordinate office meetings, including calendars, reminders, materials, refreshments, set up, and clean up; manage schedules for public spaces
○ Greet office visitors and callers, connecting them to appropriate personnel
○ Lead tech support, in collaboration with an IT consultant
○ Manage and order office or event supplies; track office and building budget and inventory
○ Handle mail distribution
○ Support staff in the organization of corporate records, contracts, server files, and backups
○ Maintain order in public and shared office spaces (e.g., kitchens, bathrooms, and conference room); organize staff cleanups and handle trash removal
○ Support ongoing maintenance of office equipment and office building, including coordination with vendors for repairs
○ As needed, other administrative assistance to Executive Director and department heads (Development, Communications and Programs, Conservation and Preservation, and Archives), including for example assistance with committee meetings as needed
○ Coordinate policies and management of general organizational volunteers (archival volunteer support separate)
○ Assistance with special projects, for example development of gift shop and public signage
● Program Support (25% of time)
○ Support of on and off-site programs, including preparation, ticketing, registration, refreshments, set up, and clean up
○ Events include but are not limited to lectures, walking tours, the annual meeting, and Night of Lights (early October)
● Fundraising Support (20% of time)
○ Assistance with internal fundraising tasks such as donor or membership mailings, organization of marketing materials, and website updates
○ Support development team and bookkeeper with fundraising-related documentation, including for donor and sponsor tracking, and bank deposits
○ Support preparation, execution, and break down of fundraising events
Desired skills, abilities, and interests:
● Interest in supporting the Chestnut Hill Conservancy’s mission
● Well-organized, professional, detail-oriented, and comfortable managing the operational and administrative needs of a small nonprofit office
● Clear, active communicator and self-starter with the ability to work independently within a fast-paced environment with sometimes shifting priorities; willingness to take the initiative to address and follow up on issues as they arise, without being reminded or asked
● Adaptable, flexible, strategic “team player” and problem solver
● Curiosity to learn more about the Conservancy and interest in the potential to grow within the organization
● B.A. or B.S. and at least two years of relevant administrative experience, including solving routine technical and office management issues; nonprofit experience a plus
● Proficient in Microsoft Office and Adobe Creative Suite
● Valid driver’s license and use of a car
● Ability to walk up stairs, ladders, and over varying terrain; ability to occasionally move boxed files, archival documents, and equipment weighing up to 40 pounds
● Willingness to work during Conservancy events on evenings and weekends
Salary and benefits:
This is a full-time, in-person position with an annual salary of $45,000 to $50,000 (commensurate with experience), including health insurance, 13 paid holidays, and three weeks of vacation time. Flex time is available, if approved in advance by the Executive Director, to accommodate evening and weekend work related to meetings or events.
