The Role
We are hiring an Intake Coordinator to manage incoming leads and convert them into scheduled consultations. This role is the first impression of the firm and plays a direct role in client experience and firm growth.
Key Responsibilities
· Answer incoming calls and respond to inquiries (phone, text, email)
· Schedule consultations and send intake forms
· Assist with light office tasks, including sorting and handling incoming mail
· Conduct outreach to past and potential clients to help generate new leads
· Maintain professionalism and consistency in all client communications
· Enter and manage leads in our system
· Follow up with missed calls and unconverted leads
· Maintain a professional, organized, and confident phone presence
What We’re Looking For
· Strong communication skills (clear, confident, professional)
· Organized and detail-oriented
· Able to manage multiple tasks and stay responsive
· Comfortable speaking with potential clients about services and next steps
· Proficiency with Mac (macOS) – required
· Familiarity with Clio grow and manage software preferred
· Familiarity with Outlook mail and One Drive preferred
· Prior intake, customer service, or sales experience preferred
