Job Overview
We are seeking a Administrative Assistant/Receptionist to serve as the first point of contact for visitors, clients, and callers while providing administrative support to ensure the efficient operation of the office. This role requires excellent communication, organizational, and customer service skills, along with the ability to manage multiple tasks in a fast-paced environment.
Responsibilities
- Greet and assist visitors, clients, and vendors in a professional and courteous manner
- Answer, screen, and direct incoming phone calls
- Manage incoming and outgoing mail, packages, and deliveries
- Schedule appointments, meetings, and conference rooms
- Order and maintain office supplies and equipment
- Assist with data entry, invoicing, and basic bookkeeping tasks as assigned
- Support management and staff with administrative projects and daily office operations
- Ensure the reception area and common office spaces remain clean, organized, and welcoming
- Perform other administrative duties as assigned
- Manage donation requests and certificates
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Minimum of 1–2 years of administrative, receptionist, or customer service experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Experience with office equipment, including multi-line phone systems, printers, and copiers
- Strong organizational and time-management skills
- Excellent verbal and written communication skills.
- Ability to prioritize tasks, meet deadlines, and work independently.
- Professional appearance and positive attitude
- Strong attention to detail and commitment to confidentiality
Preferred Skills
Experience with scheduling software or office management systems.
Basic bookkeeping or accounting knowledge.
Ability to work effectively in a team environment.
Problem-solving skills and a proactive approach to office support.
Physical Requirements
- Extended periods of sitting and operating a computer.
- Occasional standing, bending, reaching, and light lifting.
- Frequent use of hands and fingers for keyboard and communication devices.
Compensation
Compensation will be based on experience and qualifications. Final pay decisions are made by the hiring manager following the interview and selection process.
