Position Overview
We are seeking a highly organized and proactive individual to serve as a Family Coordinator & Household Manager. This role combines elements of personal assistant, au pair, housekeeper, and home caretaker to support a busy father & his partner, and his four daughters (ages 22, 18, 9, and 7). Younger daughters at home 50% of the week.
The ideal candidate will excel at managing schedules, coordinating extracurricular activities, maintaining a clean and organized household, and providing regular updates to ensure the father and his partner can show up prepared and present in all aspects of family life.
Additionally, this role requires attention to detail, project management and clear communication. The ability to critically think, advance plan and adjust to preferences and multiple schedules is required.
Key Responsibilities
1. Schedule Management:
- Coordinate and communicate the family’s weekly and daily schedules, including travel, extra curriculars, household projects , school activities, and personal appointments. Keep track of days when kids will be home and have a plan for gaps (including covering these gaps) when father or partner is not able to be home with them.
- Collaborate with the father and his partners' work schedules to integrate work and family commitments into one cohesive calendar.
- Work with former spouse to ensure consistency and clarity around the children’s schedules and needs. Provide communication between households to ensure kids are prepared and parents are aware of needs.
- Provide concise communication with clear summaries of upcoming needs, events and other ongoing details to streamline family and household activities and household projects.
2. Extracurricular Activities Coordination:
- Keep up with logistics for the 18-year-old’s college gymnastics competition so that father can be present as much as possible.
- Oversee coordination of 9 year old and 7 year old extra curricular activities and encourage learning time at home.
- Ensure all necessary gear, uniforms, and documents are prepared ahead of time and coordinate any last-minute changes.
3. Proactive Planning and Communication:
- Serve as a liaison between the father, partner, former spouse, any coaches, teachers, or activity coordinators.
- Anticipate family needs and prepare for upcoming events, including travel, meals, and attire. Prepare and accommodate for those needs before they become an issue.
- Communicate effectively to keep all parties informed and aligned, providing a detailed plan for the week.
4. Household Cleaning and Maintenance:
- Maintain a clean and organized home, including daily cleaning, laundry, and tidying.
- Coordinate home maintenance and repairs (e.g., scheduling contractors, ordering supplies).
- Keep common areas, bedrooms, and play areas to provide a functional and comfortable environment.
- Coordinate home projects with vendors, cleaning schedules with house keepers and other necessary scheduled needs at the home.
5. Child-Related Support:
- Assist with preparation for school, practices, and events (e.g., packing lunches, setting out clothes, ensuring homework is completed).
- Provide a nurturing and supportive presence for the 9- and 7-year-olds when needed, ensuring that family protocols are utilized as a standard (e.g. bedtimes, homework, etc.). Communicate progress, concerns or needs appropriately.
- Utilize family routine practices to keep consistent expectations around chores, education, behavioral development etc.
6. Errands and Shopping:
- Handle grocery shopping, meal prep assistance, and household errands.
- Manage online orders for household and extracurricular supplies, ensuring all items are procured on time.
- Keep household stocked with basic supplies, materials and goods.
7. Holistic Family Support:
- Collaborate with the work schedules to ensure a balance between business and family responsibilities.
- Work with the former spouse to address the children’s immediate needs and long-term plans, ensuring smooth transitions between homes and activities in capacity of father's proxy.
- Keep detailed records of schedules, expenses, and action items to avoid surprises and last-minute challenges.
- Household has 3 dogs, must be able to assist with ongoing training, feeding schedules and vet visits.
Experience
- Strong organizational and time-management skills.
- Experience in family coordination, childcare, or household management.
- Ability to multitask, anticipate needs, and proactively plan ahead.
- Exceptional communication skills with a focus on clarity, details, urgency and reliability.
- Understanding of the demands of a growing business and a complex family structure.
- Ability to maintain discretion and professionalism in a private home setting.
- Willingness to be hands-on with children's education, activities, and healthy development.
Hours and Compensation:
- Full-time position with flexible hours to accommodate the family’s needs (including evenings and weekends as required).
- Competitive salary based on experience. Full benefits package included. Paid every Friday.
