The Program Coordinator provides customer service and clerical support to students, faculty and staff of the SELS division. Under general supervision, this position independently performs a variety of duties including: providing courteous and accurate information to students, faculty, staff, and general public; performing complex clerical projects and assignments; establishing and maintaining record keeping/filing systems and database files; creating and maintaining spreadsheets for documents such as division special assignment tracking sheet; administering faculty student evaluations quarterly; and assisting with other projects and activities. The SELS division serves a high number of immigrants, refugees, and first-generation students whose first language is not English, most of whom are accessing higher education in America for the first time and need in-person help navigating our system. By providing a welcoming single point of entry and seamless access to the SELS programs, this position supports the college¿s strategic goals of educational access and student success.
This is a classified position reporting to the Administrative Services Manager for the School of English Language Studies.

Run ELA and EdCAP class rosters as needed.

Make appointments for advisors for the ELA advising office.

Assist prospective and returning students on College Online Admissions Applications (OAAP) & ELA new student application steps.

Assist ELA students with various inquiries including those who need their ctcLink ID or ctcLink account activation.

Run enrollment reports for the division (ELA/EdCAP, AENGL, ELI) as needed.

Produce annual and quarterly list of student evaluations for the division.

Schedule and coordinate the Canvas/paper evaluations by students with faculty, the dean, and the EVPI office.

Report special assignment pay for faculty (subbing, advising, meetings, and any other special assignments).

Post official notices on classroom doors (classroom change, class cancellations, etc.).

Monitor office supply inventories of the division faculty and staff for the office.

Coordinate the ordering items with the direct supervisor for purchases.

Maintain office supplies in the Associate Faculty room.

Update division faculty & staff directory as a back-up.

Respond to email inquiries from students, faculty, and staff promptly.

Provide customer service and clerical support for students, visitors, faculty, and staff for the division via phone, email, and in person.

Train new student employees on front desk duties and provide guidance to them.

Pick up print orders and mail for faculty/advisors/staff from the Print and Mail Center daily.

Other duties as assigned.

High school graduation or equivalent AND one year of customer service and clerical experience.

Spanish/English bilingual (must be able to read, write, and speak both languages).

Intermediate skills using Google Applications or Microsoft Office.

Excellent written and verbal communication skills.

Work will be performed primarily in an office setting, and onsite/in-person. The ability to sit at a desk/computer station, bend, stoop, walk and generally move around the office to consult with others, work within a busy environment and remain focused on tasks. Some tasks require lifting and moving of objects up to 30lbs. Excellent verbal and written communication skills are essential, including the ability to communicate effectively with a diverse population, including non-native English speakers. This also includes the ability to produce clearly written documents.
40 hours per week, Monday - Friday, 8:00 am - 5:00 pm, and some evenings
Salary range 41. Beginning salary is $44,856- $52,872 annually, with periodic increments to $59,760 annually plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options and more. Vacation and leave package includes 12 sick days per year, 11 scheduled holidays, 1 personal holiday, 3 personal leave days, and 14 vacation days per year (incremental increases to 24 vacation days per year). This position is overtime eligible when work permits. If scheduled to work holidays, the position will receive Holiday pay.
