Job Summary
The Administrative Assistant (Church Secretary) provides general office management, secretarial, and receptionist support for the Pastor, staff, church officers, and committee chairpersons. This role keeps the church office running in an organized, efficient, and welcoming manner so that the congregation, visitors, staff, and community can be well served and the church's mission and ministries can move forward smoothly. Core to the position are integrity, confidentiality, strong communication and interpersonal skills, sound judgment, and dependability.
Duties
- Support the pastor, staff, and ministry leaders by preparing weekly worship materials, newsletters, slides, and essential church communications that help the congregation stay connected and spiritually nourished.
- Maintain accurate church records and the master calendar so the rhythms of worship, ministry, and community life flow smoothly.
- Offer a gracious front‑office presence by welcoming visitors, answering calls, and helping people find the information or support they need.
- Keep daily operations running well by caring for office equipment, ordering supplies, coordinating building use, and assisting with hospitality for worship and special services.
- Ensure church publications, bulletin boards, and literature racks reflect current ministries and opportunities for discipleship and service.
- Uphold confidentiality, integrity, and trustworthiness in all administrative work, including proper use of church accounts and opening/closing the office each day.
- Maintain compliance records for employees and volunteers and assist with annual reporting that supports the church’s mission and accountability.

Qualifications
- High school diploma or G.E.D. required; additional secretarial, office administration, or related experience preferred.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and general office equipment; willingness to learn new software and technology
- Strong written and verbal communication skills across a range of styles, from pastoral and personal correspondence to formal reports.
- Sound independent judgment and problem-solving ability; capable of prioritizing and completing work with minimal supervision.
- Self-motivated, organized, flexible, and dependable; anticipates needs and follows through on commitments.
- Effective interpersonal skills for working with the Pastor, staff, S/PPRC, congregation, and guests of the church.
- Understanding of and respect for the church's mission, values, and ministries, reflected in appearance, language, and conduct.
- Absolute discretion with confidential and sensitive information.
- Act 33 and Act 34 (Pennsylvania child-abuse and criminal history) clearances and an FBI background clearance are required, or must be obtained prior to the start date.
Work Hours
Work hours are set at 30 hours per week, but shift time can be negotiated.
This is primarily an in person position, but some hybrid work days are possible
