JOB DESCRIPTION: ADMINISTRATIVE SECRETARY
JOB CLASS CODE: 7762
MINIMUM QUALIFICATIONS:
1. High School Graduate or equivalent.
2. Knowledge of administrative duties in the School District.
3. Experience operating computer equipment and working with word processing and spreadsheet programs.
4. Phone skills and etiquette.
REPORTS TO: Director of Student Services/DPP and Superintendent
JOB GOAL: Perform a wide variety of specialized and responsible secretarial and administrative support duties for the Director of Student Services/DPP and Superintendent.
KNOWLEDGE OF:
1. Modern office practices, procedures and equipment
2. Record keeping and report writing techniques
3. Oral and written communication skills
4. Applicable sections of the Kentucky Administrative Regulations and other applicable laws and District policies and procedures
5. Interpersonal skills using tact, patience and courtesy

7. Operation of a computer and variety of other office equipment

PERFORMANCE RESPONSIBILITIES:
1. Receive telephone calls and greets all visitors to the Student Service and DPP office. Responds to inquiries made to the Student Services/DPP Office whenever possible. Directs calls to appropriate party.
2. Receive mail and route to appropriate Central Office and/or school personnel.
3. Perform routine office duties as needed for the Director of Students Services/DPP.
4. Assist with IC reports and verification of data.
5. Assist with student data entry into IC and other required data tools.
6. Provide support to District Enrollment Clerk, DPP, and Student Service Staff with reporting and report completion.
7. Assist with on-line registration.
8. Assist with preschool enrollment process as needed.
9. Maintain confidentiality of information regarding employees, individual students and their families.
10. Maintain acceptable personal attendance without repeated unexcused absences, tardiness, and absences without notification or abuse of sick leave.
11. Perform other duties as may be assigned by Supervisor.
TERMS OF EMPLOYMENT: Hourly rate, number of hours and days per year set annually by the Board of Education.
EVALUATION: Performance will be evaluated in accordance with the provisions of the Board's Policy on Evaluation of Personnel.
