Responsibilities
- Respond promptly and professionally to customer inquiries through multi-line phone systems, email, and in-person interactions
- Manage client accounts using software such as QuickBooks and productivity tools like Microsoft Office and Google Workspace
- Maintain accurate records through data entry, filing, and updating spreadsheets with detailed information
- Assist with office management tasks including calendar management, appointment scheduling, and front desk duties
- Provide support for administrative functions such as proofreading documents, organizing files, and handling clerical tasks
- Communicate effectively with clients via phone etiquette, ensuring clarity and professionalism in every interaction
- Support team members with bookkeeping tasks, office organization, and general administrative assistance as needed
Skills
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and productivity software
- Excellent organizational skills with the ability to manage multiple tasks efficiently
- Exceptional customer service skills combined with effective phone communication and phone etiquette
- Experience with office management systems including multi-line phone systems and calendar management tools
- Bilingual abilities are highly valued to better serve diverse client needs
- Technical proficiency in data entry, filing, proofreading, and document management
- Knowledge of QuickBooks for bookkeeping purposes is a plus
- Prior office or clerical experience including front desk or medical/dental receptionist roles preferred
- Strong typing skills with attention to detail for accurate data entry and document processing
- Ability to handle sensitive information discreetly while maintaining professionalism at all times
