What You’ll Do
You will play a key role in ensuring the office runs smoothly and clients feel valued from the moment they walk in. Responsibilities include:
- Warmly greet clients and prospects upon arrival
- Professionally manage incoming calls, transfers, voicemails, and virtual meeting setup
- Competently answer client questions and provide friendly, knowledgeable support
- Assist clients with completing forms and navigating our digital tools
- Open and close the office following established protocols
- Maintain organized visitor‑facing and common areas
- Receive, sort, and log daily mail and deliveries
- Maintain office supplies, stationery, inventory, and beverage room supplies
- Learn and utilize proprietary technology systems
- Update client information and keep the CRM current
- Schedule, reschedule, and coordinate appointments and calendars
- Assist with company projects and collaborate with team members
- Help coordinate building maintenance requests and small facility projects
- Scan, copy, name, and file client documents and financial statements
