POSITION OVERVIEW
The Operations & Event Manager is a senior-level event leader responsible for owning the preparation and execution of Roots’ most complex and high-touch events. This role serves as the lead producer on assigned events, translating client vision and operational plans into exceptional on-site execution while ensuring alignment with Roots standards for design, service, hospitality, and guest experience.
This position requires a strong eye for detail and design, advanced event management experience, and the ability to confidently lead teams in fast-paced, high-pressure environments. The Operations & Event Manager is responsible for ensuring events are fully prepared prior to departure, successfully executed onsite, and continuously improved through strong organization, communication, and operational excellence.
In addition to event leadership, this role partners closely with the Director of Operations & Event Production to support event readiness, sourcing, rental logistics, purchasing, and operational systems that ensure seamless execution across all events.
CORE RESPONSIBILITIESEvent Preparation & Readiness
- Create event-specific packing lists, task assignments, and execution plans based on BEOs, venue logistics, and event requirements.
- Use creativity & sound logistical judgment to design, stage & pack displays that align with client’s vision & event function
- Coordinate event pack-out, staging, execution plans and communication with Part-Time Event Managers and Operations team members.
- Ensure all equipment, rentals, serviceware, disposables, signage, and specialty items are prepared and event-ready prior to departure.
- Conduct a final quality check to ensure all event materials are complete, accurate, and departure-ready.
- Coordinate event deliveries and complete miscellaneous operational projects as assigned.
Event Management
- Attend BEO meetings for briefing on upcoming events.
- Develop event task lists, timelines, and staff assignments to ensure successful execution.
- Arrive at Roots prior to scheduled departure, prepared to review event details, lead pack-out execution, and delegate responsibilities to event staff.
- Serve as the operational owner of assigned events, leading event staff through setup, service, breakdown, and load-out while maintaining Roots standards for hospitality, presentation, and guest experience.
- Communicate clearly with Assistant Event Managers (when applicable) to ensure alignment and a smooth transition of leadership.
- Communicate professionally with clients, venue partners, vendors, and internal teams throughout event execution.
- Resolve event-day challenges with professionalism, urgency, and sound judgment.
- Complete After Action Reports following each event and escalate operational, staffing, or client concerns to the Director of Operations & Event Production.
Event Materials & Rental Coordination
- Serve as the primary owner of all event signage, including preparation, organization, maintenance, and custom requests.
- Perform weekly rental check-in and quality control, ensuring accurate returns and separation of Roots inventory.
- Assist with rental planning, ordering, revisions, and event-specific logistics.
- Source rentals, serviceware, disposables, specialty products, greenery, florals, and other event materials as needed.
- Identify inventory shortages and communicate sourcing or replenishment needs proactively.
- Maintain Roots standards for event presentation and brand consistency.
Operational Support & Continuous Improvement
- Collaborate with the Director of Operations & Event Production to improve operational systems, workflows, and Standard Operating Procedures.
- Support event design, product sourcing, and purchasing decisions to ensure successful event execution.
- Assist with inventory forecasting, vendor coordination, and operational planning.
- Support department initiatives, team development, and special projects as assigned.
- Identify opportunities to improve event readiness, operational efficiency, and execution consistency.

REQUIRED QUALIFICATIONS
- 3+ years of experience in catering, hospitality, event management, or event production.
- Experience managing events, coordinating logistics, and leading teams.
- Experience reading and executing Banquet Event Orders (BEOs).
- Strong organizational skills and attention to detail.
- Strong eye for event design, presentation, and guest experience.
- Ability to manage multiple priorities in a fast-paced environment.
- Valid driver's license and reliable transportation.
- Ability to lift up to 50 pounds and work in both warehouse and event environments.
- Availability to work evenings, weekends, and holidays as required.
