Job Title: Lead Program Monitor (Safe Haven)

Salary: $31.00 per hour
Summary:
The Lead Program Monitor is a full-time non-exempt position under the direction of the Safe Haven Program Manager. The Lead Program Monitor is responsible for oversight of the Program Monitor team working at the Safe Haven located at the Fairfax Hotel. Duties of this position include supervision of program monitors, conducting and participating in Program Monitor meetings and trainings, ensuring accuracy of reporting, including but not limited to incident reports and shift reports. The Lead Program Monitor is responsible for making sure the program monitors are knowledgeable of the program rules and guidelines, overall building Community Rules, wellness check policies, etc. and apply as needed. The Lead Program Monitor maintains the schedule for the program monitors and works with the Mental Health Specialist and Program Manager for On-Call Staffing to fill vacant shifts. The Lead Program Monitor understands they may be called to fill shifts if the shift cannot be filled with Swords to Plowshares employees or qualified vendors.
Responsibilities:
· Provides courteous and professional service to residents and their guests while maintaining appropriate (professional) boundaries.
· Screen all visitors, including vendors and care providers entering the building. Inform visitors of visitor policy, check visitor ID and sign visitors in and out of the building.
· Promotes compliance of building policies including communicating denial of entry to visitors who are determined by management to have violated the rules.
· Keep the front desk tidy and presentable with all necessary materials (pens, forms, paper etc.).
· Assist tenants and program participants with questions, the completion of work orders, incident reports, and address complaints. Replenish and make copies of all necessary paperwork, work orders, incident reports, sign-in sheets, and grievance forms.
· Submit sign-in logs daily to the Veterans Health Administration as directed by management.
· Answer all incoming calls and redirect them to the appropriate party.
· Receive letters, packages, etc., and distribute them to tenants and program participants throughout the day.
· Complete accurate daily shift reports and incident reports prior to completion of shift. Complete Shift Reports with all communications and building activity, including unusual events as well as violations of the community rules, visitor policy, and any other pertinent building/policies and procedures.
· Maintain 86 list and inform Property Management of any updates or needed changes.
· Perform hourly rounds and wellness checks throughout the building
· Responds to emergencies by calling the appropriate emergency services (i.e., police, ambulance, fire department). Act as a resource and support in emergency situations.
· Attends and actively participates in daily huddles, staff meetings, and trainings as assigned by your supervisor, including mandatory meetings held outside of scheduled work hours.
· After-hour and weekend accessibility using a company cell phone for to ensure onsite staffing and coverage are in compliance with the contract (as needed)
· Ensure the kitchen is stocked and clean at the start and end of the shift. Work with Program Monitors to ensure the cleanliness of the kitchen and surrounding area before and after each shift.
· Work in partnership with the Peer Specialist on food ordering for the Safe Haven.
· Support the ordering of office supplies, kitchen cookware, and other items as needed in partnership with the Mental Health Specialist and Property Management.
· Must be able to perform all tasks as assigned by management with what would be considered reasonable accommodation.
· Fluency in English and ability to effectively read, write, and communicate in English with staff, clients, and external partners and stakeholders.
Supervisory Responsibilities
· Provide weekly supervision to include weekend only staff, routine training, timecard approvals, and conduct annual employee reviews
· Track all training and professional development of program monitors as required by the agency, contracts, and funders
· Interview and hire program monitors in concert with the Program and Property Manager
· Maintain calendar/schedule for program monitors
· Maintain appropriate and timely documentation of supervision meetings
· Attend all required training to ensure individual and professional growth
· Employees must be able to carry out other essential duties of the position within what can be considered reasonable accommodation
Desired Qualifications
Experience:
· Minimum of four (4) years' experience of oversight of front desk duties within a residential hotel or treatment setting.
· Experience supervising a team is preferred.
· An understanding of and experience working with veterans and the issues impacting people experiencing homelessness.
· Commitment to helping homeless and formerly homeless veterans to regain and maintain their independence.
· Present a relaxed, courteous, and professional communication style even under pressure.
· Experience with de-escalation and crisis management.
· Organized with attention to detail.
· Ability to work independently and be a part of a team.
· Ability to utilize Microsoft Office Suite programs, which include Microsoft Word, Microsoft Excel, and Microsoft Outlook.
· Ability to pass and maintain the ServSafe Food Handlers Course for California
Physical Requirements:
- Ability to maneuver throughout the building, including stairs.
- Ability to sit for extended periods of time.
- Ability to lift 25 lbs.
