Responsibilities (include but are not limited to)
1. Key Responsibilities:
- Schedule surgical cases across multiple hospitals and ambulatory surgery centers
- Coordinate pre-operative appointments, imaging, labs, and clearances
- Obtain prior authorizations and ensure insurance requirements are met
- Assist with entering treatment plans into the EMR system and ensuring follow-through on next steps (e.g. imaging, therapy, injections, or surgery
- Communicate with patients regarding surgical instructions and expectations
- Work closely with surgeons, medical assistants, billing staff, and external facilities
- Track surgery cases and follow up on pending items
- Maintain accurate records in the EMR system
2. Qualifications:
- 1+ years of experience in medical scheduling, preferably in a surgical or specialty practice
- Knowledge of insurance verification and prior authorization processes
- Familiarity with EMR systems (Elation preferred)
- Strong attention to detail and ability to manage multiple priorities
- Excellent interpersonal and communication skills
- Professional, team-oriented, and reliable
3. Patient Care:
- Support healthcare professionals in patient examinations and procedures.
- Take and record vital signs, medical histories, and chief complaints.
- Ability to proficiently draw blood from patients of all age groups.
- Assist in the preparation and processing of specimens for laboratory testing.
- Maintain and organize medical supplies and equipment.
- Provide quality customer service to patient inquiries.
- Record patient information, including medical histories and treatment plans.
- Maintain accurate and organized patient health records.
- Ensure confidentiality and security of patient information.
- Communicate effectively with patients, families, and team members.
- Relay important information to patients regarding treatment plans, medications, and
- post-operative care.
- Maintain patient follow-up protocols to ensure continuity of care.
- Schedule patient appointments and assist with billing and insurance-related tasks.
- Coordinate referrals and communicate with other healthcare providers as needed.
- Prepare and send out medical documentation, ensuring accurate and timely
- communication.
- Perform general administrative tasks to ensure the smooth operation of the office.
- Maintain a clean and organized work environment.
4. Compliance and Quality Assurance:
- Adhere to all regulatory and compliance guidelines in the delivery of healthcare services.
- Participate in quality assurance and improvement initiatives.
Required Qualifications
- Team player with a motivated and dependable work ethic.
- Detail-oriented with efficient time management and multitasking skills.
- Proficient in computer usage and office equipment, including Word and Excel.
- Excellent communication, phone, and customer service skills.
