Responsibilities:
- Professionally answer incoming phone calls and route messages
- Manage the company email inbox and respond to customer/vendor inquiries
- Maintain the office calendar, reminders, and scheduling needs
- Organize, file, and maintain both physical and digital paperwork
- Enter data into systems for timecards, job tracking, estimates, and inventory
- Coordinate material quote requests
- Send prepared lists to suppliers
- CC relevant team members
- Follow up to ensure timely responses
- Coordinate deliveries and manage incoming shipments
- Run errands as needed (post office, office supply pickups, etc.)
Requirements:
- Minimum 2 years of experience in an administrative role
- Prior experience in a construction or contracting office environment is strongly preferred
- High attention to detail, strong organization, and follow-through
- Excellent communication and interpersonal skills
- Proficiency with email, phones, calendars, and basic document handling (Microsoft Office or Google Workspace)
- Self-motivated and able to work independently without micromanagement
- Valid driver's license and reliable transportation
