The Surgical Case & Hospital Coordinator manages the end-to-end coordination of oral and maxillofacial surgery cases requiring hospital-based care. This role serves as the central point of contact between the dental school, affiliated hospitals, the oral and maxillofacial surgery (OMFS) and general practice residency (GPR) programs, and patients to ensure efficient scheduling, complete preoperative preparation, and seamless communication across all stakeholders.
Duties and Responsibilities
- Coordinate scheduling of hospital-based surgical cases across affiliated hospitals
- Serve as primary liaison between OMFS, GPR, hospital OR scheduling teams, and anesthesia services
- Ensure all preoperative requirements are completed (medical clearance, documentation, imaging, consents)
- Track case readiness and proactively resolve gaps or delays
- Align faculty, resident, and hospital availability to optimize OR utilization
- Coordinate inpatient and outpatient workflows related to hospital-based care
- Maintain case tracking systems and ensure accurate, up-to-date information
- Support communication with patients regarding hospital-based procedures
- Identify and address operational inefficiencies in case coordination workflows
- Collaborate with program leadership to support both OMFS and GPR training needs
- Performs all other duties and responsibilities as assigned or directed by the supervisor.
Required Knowledge, Skills and Abilities
- Bachelor’s Degree
- 3–5 years’ experience in surgical scheduling, hospital coordination, or clinical operations
- Knowledge of surgical systems
Preferred Knowledge, Skills and Abilities
- Experience working with hospital systems, OR scheduling, or procedural care strongly preferred
- Experience with OMFS, dentistry, or surgical specialties
- Familiarity with hospital credentialing, OR block time, and perioperative workflows
